Chartwells K-12 in Saint Louis is seeking a part-time Field Support Associate to assist operations and finance on the office coffee side. You will set up new customer accounts in our billing system, answer invoice questions, and help ensure timely charges and billing accuracy.

The role requires prior accounting experience, multi-tasking ability, and strong communication with clients by phone and email. Hours are Mon–Fri, with pay ranging from $18.00 to $20.00 per hour.

Responsibilities

• Setting up new customer accounts in our billing system.
• Assisting customers with questions about invoices or deliveries and coordinating with operations to resolve issues.
• Ensuring credit cards on file are charged regularly to support collections.
• Reviewing and sending invoices daily via email or physical copies.
• Keeping billing equipment and rental billing up to date.
• Assisting operations in placing fresh food orders for office coffee clients.
• Manually keying orders when necessary.
• Processing annual price book increases 1–2x per year.
• Performing ad hoc duties and communicating with clients by phone and email.

Job Summary

This position will be assisting both operations and finance on the office coffee side of the business in the sense that you will be responsible for:

• Setting up new customer accounts in our billing system.
• Assisting customers with questions about their invoices or deliveries and working with operations on how to address the issues.
• Making sure credit cards on file get charged on a regular basis, which helps the finance collections team.
• Making sure that invoices are reviewed daily and sent out on a regular basis either by email or physical copies, which helps the finance collections team.
• Keeping system up to date when it comes to equipment which affects rental billing.
• Assist operations in placing fresh food orders for office coffee clients.
• Manually key orders when necessary.
• Complete price book increases that happen 1-2x a year.
• Assist in other ad hoc duties that arise.
• Must be able to multi-task, meet deadlines, take initiative, problem solve, and be able to communicate with clients both on the phone and through email.
