Job summary

Deer Creek Seed in Oregon seeks a Field Production Administrative Manager to lead the field production administrative team and coordinate with VP North America. You will supervise grower payments, maintain contracts, and ensure accurate data entry in Navision and related systems.

You will create DocuSign contracts, manage annual reports, and partner with field staff, procurement, sales, and warehouse teams to support planning and execution of seed production.

Qualifications

  • Bachelor’s Degree or equivalent work experience.
  • 2+ years of progressively responsible experience in administrative, operations, or production support roles.
  • Strong verbal, written, and interpersonal communication skills.
  • Excellent organizational, prioritization, and follow-up skills with attention to detail.
  • Ability to manage multiple processes simultaneously in a fast-paced environment.

Responsibilities

  • Lead the field production administrative team and meet objectives.
  • Oversee grower payment processes and AP activities; ensure timely payments.
  • Manage task assignments and maintain key spreadsheets and lists.
  • Update the Planting Plan and related workbooks used in crop planning.
  • Support grower contract pricing between procurement and growers; maintain records.
  • Collaborate with Sales and Inventory to buy seed from grower contracts as needed.
  • Maintain current contract terms, pricing, and standards.
  • Create DocuSign contracts and obtain signatures.
  • Maintain files of all seed production contracts and test results.
  • Ensure crop information is accurate; provide status reports to management.
  • Prepare annual reports and spreadsheets as required.
  • Communicate with grower-partners, seed labs, and control agencies.
  • Maintain Field Production Calendar and assist with planning.
  • Partner with leadership on additional projects and priorities.

Field Production Administrative Manager

About the Job

The Field Production Administrative Manager partners with the VP of Field Production, North America to ensure timely and accurate completion of department functions. The role leads the field production administrative team, works closely with field staff to generate documentation and system entries related to seed production contracts, and oversees grower payment processes.

Essential Duties and Responsibilities
  • Manage the field production administrative team, ensuring they meet established objectives and comply with company standards.
  • Oversee grower payment processes and reconciliation, including invoice review, approval coordination, and timely payment execution; supervise and support team members responsible for AP activities.
  • Assign tasks and maintain department responsibilities including the Acreage Contract Placement spreadsheet, annual cleaning schedule, lot tracking spreadsheet, and current grower lists.
  • Update and maintain the Planting Plan and all necessary workbooks used in the crop planning process.
  • Facilitate establishing grower contract pricing between procurement and growers via DLF field staff; maintain detailed records of crop approvals, including seed quality test results and grower pricing agreements.
  • Work with Sales and Inventory as needed to purchase seed from grower contracts to meet production and sales demands.
  • Maintain current seed production contract terms, pricing, and standards as directed by management.
  • Gather information from field staff to initiate new production contracts.
  • Arrange with appropriate warehouse personnel for timely assembly and, if necessary, delivery of seed stock.
  • Create DocuSign contracts for approval and obtain appropriate signatures.
  • Maintain current and accurate files of all contracts related to seed production.
  • Supervise the receiving of new seed tests and ensure proper entry into Navision and archival databases.
  • Work with field staff to ensure crop information remains accurate and up to date.
  • Provide status reports to management and sales as needed.
  • Create and maintain annual reports and spreadsheets as required.
  • Communicate with grower‑partners, seed labs, and seed control agencies as necessary.
  • Maintain the Field Production Calendar and assist staff with planning upcoming activities.
  • Partner with Field Production leadership on additional projects and priorities as needed.
  • Other duties as assigned.
Qualifications
  • Bachelor’s Degree or equivalent work experience.
  • 2+ years of progressively responsible experience in administrative, operations, or production support roles.
  • Strong verbal, written, and interpersonal communication skills.
  • Excellent organizational, prioritization, and follow‑up skills with attention to detail.
  • Ability to manage multiple processes simultaneously in a fast‑paced environment.
  • Proficiency in Microsoft Office.
  • Ability to perform detailed work with a high degree of accuracy.
  • Ability to work additional hours as needed.
Preferred
  • 3+ years of relevant work experience.
  • Experience with Accounts Payable processes or financial administration.
  • Knowledge or experience in the seed industry or related agricultural industries.
