Job Description

The College of Veterinary Medicine is searching for a Faculty Affairs Coordinator in the Department of Veterinary Clinical Sciences. This position will be responsible for coordinating the Promotion & Tenure (P&T) process; provides information on process and policies to department promotion and tenure committee and faculty under review; establishes access for P&T shared files; posts documents to the share drive; reviews dossiers for adherence to format; schedules P&T committee meetings; provides administrative support to Committee Chair as requested; schedules eligible faculty meetings; formats and edits department P&T Committee letters and obtains signatures; assists with edits and formatting for Department Chair letter; compiles final P&T packets for College submission; maintains P&T files; assist P&T committee chair with Annual Review Process; provides Faculty Review Schedule report; assist committee chair with preparing annual review letters for probationary faculty. Oversees the onboarding and orientation of new faculty; provides information and instructions on limited licensure application and arranges fingerprinting; schedules employment physical, assists with computer purchase and office needs; ensures candidate has shared services access and is added to appropriate electronic groups; provides information on mandatory training; obtains telephone, long distance code, mailbox, business cards and building access for new faculty; works with service head to identify appropriate orientation meetings; schedules orientation meetings (10-20 meetings over 2 week period); meets with new faculty on first day for onboarding and orientation introduction and materials; point of contact for new faculty during the orientation process. Assists in scheduling candidate itineraries and coordinating details; contacting candidates to determine interview dates and interests, verifying availability of key interviewers; assisting with travel arrangements; creating and managing shared folders for use by the search committee; escorts candidate during interview; instructs/assists faculty with procedures for reimbursement of recruitment meals; publicizes candidate lecture and assist candidate with AV needs; distributes and collects candidate evaluation forms; assists candidate with reimbursement procedures. Additional duties include assistance faculty workday tasks including requisitions, travel arrangements, purchase others, and other needs.

Additional Information

Per CCS Rules with a preference for work in an academic setting and/or department administrative support.

Minimum Education Required

Bachelor's Level Degree or equivalent combination of education and experience

Required Qualifications

Bachelor's degree or an equivalent combination of education and experience; experience in a higher education environment; experience working with confidential information; experience with data entry and reporting.

Desired Qualifications

Experience in a clinical and/or academic setting; experience with event planning and/or coordination; knowledge of faculty governance, promotion and tenure process or faculty titles/ranks.

Additional Information

Target Salary Range: $21.35 - $27.88 per hour; commensurate with experience, internal equity, the unit’s available budget, and the candidate’s qualifications.
