Job summary

The Michaels Organization is seeking an organized maintenance administrator to handle repair requests, schedule and track work orders, and work with vendors. You will maintain logs, process invoices, and support site operations with strong customer service and communication.

Ideal candidates have 2+ years in multifamily admin roles, proficiency with MS Office and web-based platforms, and the ability to multitask in a fast-paced environment at our California properties.

Qualifications

• At least 2 years multifamily/residential administrative experience.
• Excellent customer service and communication skills.
• Experience with computer systems: typing, e-mail, MS Office and the ability to learn web-based platforms.

Responsibilities

• Receive all requests for repairs, emergency work or maintenance via phone, email.


• Create, schedule, prioritize and assign work orders to maintenance techs through a web-based platform.


• Maintain, track and close all work orders weekly through a web-based platform.


• Follow up to ensure the job was done to satisfaction.


• Coordinate/schedule vendors and contractors for work to be performed.


• Create purchase orders for parts and supplies, and process invoices through a web-based platform.


• Schedule, coordinate and track maintenance.


• Maintain and produce maintenance logs and reports as directed.


• May also retrieve and deliver messages, sign for deliveries and sort incoming mail if required.


• Perform other duties when required by management.

Qualifications

Required Experience

• At least 2 years multifamily/residential administrative experience.


• Excellent Customer Service and Communication Skills.


• Experience with computer systems, including: typing, e-mail, MS Office and the ability to learn web-based platforms.

Required Education/Training

• High school diploma or equivalent.

Required Skills and Abilities

• Ability to work in a fast-paced environment, multi-tasking and prioritizing duties.


• Demonstrate the ability to communicate effectively, both orally and in writing.


• Excellent customer service skills.


• Ability to present a professional appearance.

Working conditions

Will be that of the maintenance office at the specific site and may vary site to site. Must have the ability to work overtime when required and be flexible regarding available lunch times. May have to perform occasional weekend work if required.

Salary Range Information

The range displayed on each job posting reflects the targeted base salary for the position. Within the range, individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training.
