Job summary

LewisGale Medical Center in Salem, VA is seeking a Facility Management Coordinator to handle daily clerical operations of the Facility Management department. You will support payroll, accounting reconciliation, regulatory document organization, and CMMS usage for PMs, work orders, and vendor management.

As department SME, you will also manage supplies, serve as receptionist, and publish schedules while ensuring accuracy and attention to detail in a hospital setting.

Qualifications

• High School Graduate / GED
• Administrative experience in maintenance, engineering, or healthcare preferred

Responsibilities

• Manage daily clerical operations of the Facility Management department.
• Support payroll functions and accounting reconciliation.
• Maintain regulatory documents and policies/procedures.
• Handle CMMS and compliance program for scheduling PMs and work orders.
• Greet visitors, answer phones, schedule appointments and route calls.

Job Summary And Qualifications

• The Facility Management Coordinator is responsible for the daily clerical operations of the Facility Management department.
• Under the supervision of the Director, the Facility Management Coordinator performs a variety of administrative duties, including payroll functions, accounting reconciliation, organization of regulatory documents, and maintenance of policies/procedures.
• The Facility Management Coordinator serves as the department subject matter expert for HCA Healthcare's computerized maintenance management system (CMMS) and compliance program, which facilitates scheduling PMs, work order management, and vendor management.
• The Facility Management Coordinator shall also be responsible for supplies and parts management.
• Serves as receptionist for the department by greeting department visitors, answering phones, relaying messages, scheduling appointments, and forwarding calls.
• Types letters, memos, minutes, and other documents as required. Publishes department work schedules.
• Manages department payroll and account reconciliation, including tracking of PTO, ordering department supplies, and reviewing invoices.
• Processes and distributes incoming department mail and correspondence.
• Gains familiarity with the language of HVAC systems, steam systems, and normal and emergency electrical systems, emphasizing systems and components typically found in acute care facilities.
• Exhibits proficiency with computer systems, organizational and problem solving skills, independent judgement, and attention to detail.
