  • Coordinate and schedule vendor services, preventive maintenance visits, inspections, repairs, deliveries, and project-related work.

  • Communicate work scope, schedules, site access, safety, permitting, and compliance requirements to vendors and internal teams.

  • Manage vendor onboarding and access requirements, including badging, insurance certificates, safety documentation, and required records.

  • Monitor vendor performance, service quality, completion status, responsiveness, and compliance; follow up on issues and escape concerns as needed.

  • Create purchase requisitions (PTRs), coordinate quotes and bid documentation, and support purchase order creation, tracking, receipt, and closure.

  • Review invoices against purchase orders, quotes, contracts, and completed work; resolve invoice discrepancies with vendors, Finance, Accounts Payable, and internal stakeholders.

  • Maintain accurate vendor, service, purchasing, invoice, work-order, and compliance records within applicable CMMS, service-tracking, and purchasing systems.

  • Coordinate facilities service requests and provide timely communication and follow-up to employees, maintenance teams, vendors, and leadership.

  • Support facilities programs and workplace services, including uniforms, mobile equipment, lockers, space assignments, employee moves, furniture coordination, and related inventory tracking.

  • Coordinate workplace changes with IT, Security, HR, movers, furniture vendors, and department representatives.

  • Prepare leadership reports, presentations, meeting materials, communications, and operational updates; document action items and follow through on assigned priorities.

  • Maintain department procedures, safety and compliance documentation, operational reports, and files.

  • Identify and support process improvements that strengthen vendor coordination, purchasing workflows, recordkeeping, service delivery, and customer experience.

  • Build and maintain effective working relationships with contractors, service providers, maintenance, operations, procurement, EHS, Finance, and other internal partners.

Work Hours:

  • Flexible hours required to support start-up efforts, planned outages, shutdowns, vendor work, moves, and plant needs, including occasional weekend, evening, or holiday support.

Education & Experience:

  • 3+ years of experience in facilities coordination, maintenance coordination, contractor management, procurement, office operations, workplace services, or a related industrial/manufacturing environment preferred.

  • Experience working with vendors, contractors, maintenance teams, service providers, and cross-functional plant personnel preferred.

  • Experience with purchase requisitions, purchase orders, invoice processing, budget tracking, or Accounts Payable coordination preferred.

Required Skills:

  • Proficiency in Microsoft Office Suite, including Excel, Outlook, Word, PowerPoint, and Teams.

  • Ability to maintain accurate records, schedules, reports, and service documentation.

  • Ability to support process-improvement initiatives related to facilities services, purchasing, vendor coordination, and administrative workflows.
