Base pay range

$50,000.00/yr - $60,000.00/yr

The purpose of this position is to provide assistance to the facility management team to ensure the successful competition of client facility needs. Provide general overall office duties and act as an interface with client, visitors, and guests.

Essential Duties And Responsibilities

  • Work with facility managers to handle routine property management operations.
  • Order property janitorial supplies monthly.
  • Issuing Purchase Orders –Purchase orders for various supplies should be created at the time of order confirmation and receipt of order confirmation.
  • Accounts Payable – Process Invoices per the property policy.
  • Funding Package – Compile monthly Client Funding Request.
  • Assist in monthly variance reporting.
  • Timesheets/Central Pension Fund – Process Payroll and Union Statements.
  • Manage and Monitor Work Orders System.
  • Provide support for meetings and conference room reservations as needed and directed.
  • Coordinate special events in support of client or JLL
  • Create and submit building occupancy reports to client on a daily basis.
  • Creates vendor files and checks accuracy on completed paperwork submitted by vendors.
  • Perform maintenance and inspection functions as needed.
  • Maintains files on work orders, proposals, contracts and department files.
  • Manage and maintain facility management tasks as assigned
  • Assist with the coordination and scheduling of maintenance activities.
  • Collect and manage Certificates of Insurance.
  • Provide general overall facility management services including continuous monitoring of office/facility.
  • Act as an interface with client, visitors, and guests.
  • Ensure appropriate follow up with customers.
  • Responds to client inquires and concerns.
  • Or any other tasks as assigned.

Education And Experience

  • High School Diploma
  • Bachelor’s Degree Preferred
  • Minimum one year of administrative support experience required

KNOWLEDGE

  • Outgoing individuals with proven customer service skills.
  • Strong computer skills with Microsoft Office knowledge
