OVERALL OBJECTIVE OF JOB
To assist the President Judge with secretarial and administrative duties of department involving complex litigation, policies and procedures.
ESSENTIAL FUNCTIONS OF JOB
- 1.Performs day-to-day operations of the judicial schedule; providing court crier and judge with daily calendar and items needed for hearings/meetings throughout the day; updating the judge with events throughout the day.
- 2.Schedules hearings, trials, proceedings, meetings, and functions as needed.
- 3.Sets up virtual links for hearings and meetings and provides the links to the necessary individuals.
- 4.Notifies necessary individuals regarding any schedule change to the judge’s calendar.
- 5.Maintains multiple calendars for the judge.
- 6.Prepares court orders, memorandums, forms, reports and letters as necessary; composes routine correspondence; checking accuracy of orders.
- 7.Takes dictation from the judge.
- 8.Files and conforms executed court orders in the appropriate filing office.
- 9.Becomes familiar with files of all cases and other matters assigned to each individual judge and be aware of any action required.
- 10.Interacts with attorneys, court staff, law enforcement agencies, filing offices and other agencies regarding procedural/scheduling questions.
- 11.Prepares and requests files for hearings by assembling legal records and other needed information, including previous appeals, rulings and other pertinent documents.
- 12.Answers telephone and responds to routine inquiries; directs legal questions to proper individual.
- 13.Responds to, composes and forwards emails.
- 14.Greets and directs individuals entering Judge's chambers.
- 15.Operates computer, typewriter, copier and other office equipment daily.
- 16.Programs documents and data into computer to maintain records and needed information.
- 17.Updates publications and periodicals for the judge’s library.
- 18.Makes travel arrangements for judge’s conferences.
- 19.Collects, opens and scans daily mail.
ESSENTIAL FUNCTIONS OF JOB FOR PRESIDENT JUDGE
- 1.Schedules meetings and teleconferences with County Leadership/Department Heads/AOPC Leadership/other President Judges.
- 2.Prepares Administrative Orders for judicial governance for the district and to comply with statewide judicial administration and Administrative Orders to implement local rules related to court, county and state policies.
- 3.Prepares letters and memorandums regarding court policies.
- 4.Collects 703 Reports for all judges.
- 5.Receives Adult Probation/Parole orders that are essential to the orderly operations of the criminal justice system and insures that they are executed, copies provided to the officers and filed.
- 6.Schedules swearing-in ceremonies.
- 7.Prepares and files Emergency Judicial Orders.
- 8.Communicates with other Common Pleas Judges and Magisterial District Judges.
- 9.Coordinates highly confidential meetings of President Judge and Court Administration regarding HR issues, hiring/firing/discipline.
- 10.Aides President Judge to assemble materials for responses to judicial and attorney discipline orders.
- 11.Gathers and coordinates information from Judicial Administrative Assistants to help with orderly administration of all judge’s work.
- 12.Proactively organizes training sessions and coordinates urgent meetings.
- 13.Provides assistance to other judges upon request.
- 14.Conducts conflict checks with counsel when appointing attorneys in confidential Orphans’ Court matters.
- 15.Reviews the statewide e-filing platform (Guardian Tracking System [GTS]) that allows court-appointed guardians of incapacitated adults to submit mandated inventory and annual reports and the Orphans' Court docket entries in order to prepare orders for review hearings with counsel.
OTHER DUTIES OF JOB
- 1.Attends meetings or training sessions as necessary.
