Job summary

Third Way is seeking an Executive Coordinator to support the Development & External Affairs team in scheduling, administrative tasks, event coordination, research, and related duties. The role advances Third Way’s objectives within the Administration and Congress, blending operations with policy activities in a hybrid Washington, DC office.

The position requires a bachelor’s degree or 1–2 years of admin experience, strong organizational skills, and proficiency with Salesforce.

Responsibilities

  • Provide primary administrative support for fundraising, events, and external affairs functions.
  • Manage schedules, calendars, meeting setup, and logistics for senior team members.
  • Coordinate events including travel, RSVPs, catering, venue briefs and on-site check-in.
  • Draft invitations, track RSVPs, and prepare event briefings.
  • Conduct background research for meetings and events.
  • Record meeting notes and share action items; maintain records and calendars.

Third Way is looking for an Executive Coordinator to provide support for the Development and External Affairs team on scheduling, administrative needs, event support, research, and other duties as assigned. This work will directly advance Third Way’s political and policy objectives in the Administration and Congress.

As the Executive Coordinator for the Development & External Affairs team, a typical day might include…
  • Serving as the primary administrative support for the fundraising, events, and external affairs functions of the Development & External Affairs team;

  • Managing schedules, calendars, meeting set-up, and logistics as well as ensuring appropriate follow-up for senior team members;

  • Providing logistical support for events that can include scheduling, arranging travel, managing check-in onsite, drafting invitations, tracking RSVPs, making catering arrangements, drafting event briefings, and scouting venues;

  • Providing background research in preparation for meetings and events;

  • Recording notes from team meetings and distributing relevant to-dos and action items; and,

  • Maintaining internal records, calendars, and shared databases.

Salary Range: $50,000 - $60,000, annually

  • Participate in Third Way’s comprehensive onboarding program. You’ll learn about all aspects of Business Operations, which includes HR, Benefits, IT, Finance, and office operations.

  • You’ll learn about all aspects of Development & External Affairs, which includes fundraising, corporate relations, and public events.

  • Meet your Third Way Buddy, be introduced to the entire staff, and start to learn the TW’s culture.

  • Learn our current processes for payroll, compliance, and labor tracking, and how you will partner with Finance and the rest of the Business Operations team on these processes.

  • Participate in weekly one-on-ones with your manager to ensure you fully understand the expectations of the job.

  • Attend weekly team meetings. You’ll learn about the key goals of each member of your program, their progress toward these goals, what challenges they face, and how you will contribute.

  • Learn our current processes for scheduling meetings, hosting events, interfacing with donors & congressional offices, and more.

WITHIN 2 MONTHS, YOU'LL...
  • Gain an understanding of each employee’s role and their contribution to the organization.

  • Attend program overview sessions to learn more about each team’s contribution to TW’s mission.

  • Incorporate TW’s Style Guide and Production process into your work products.

  • Participate in, at least, one of our internal Professional Development trainings or a Center for Fun activity.

  • Be fully responsible for the teams scheduling needs and providing support for corporate, individual, and public events.

  • Oversee in-office event coordination regarding food orders, room set-up, and RSVP tracking.

WITHIN 3 MONTHS, YOU'LL…
  • Feel a sense of comfort and familiarity with the staff, your team, and your work.

  • Continue to attend weekly departmental meetings with a stronger understanding of your team’s strategic goal.

  • Bring new ideas and suggestions to your weekly one-on-ones with your manager.

  • Complete your 90-day self-evaluation and performance review with your manager.

  • Partner with your manager to establish your long-term goals for the remainder of the year.

  • Take over primary management of Third Way’s social media channels.

  • Create and manage Third Way’s social media content calendar.

  • Lead content creation for all of Third Way’s digital media accounts.

  • Partner with other members of the communications team and our policy and political analysts to prepare content to elevate important findings and data.
