Executive Assistant to the President (Administrative Chief of Staff) – Seattle Colleges
Seattle Central College is looking to hire an Executive Assistant in President's Office. The position functions as a true Chief of Staff, providing confidential and comprehensive support to the President and requiring a seasoned Executive Assistant with experience in strategic planning, budget management, partnership building, and executive-level responsibilities.
Opportunity Details
The salary range for this position is $72,680 - $100,368 annually (depending on experience). The opportunity is open until filled; first review of materials will begin October 13, 2025. This is a full-time, on-site/hybrid role with regular in-person presence on campus.
What You Will Be Working On
- President's Office liaison and trusted advisor to the President, coordinating with internal and external stakeholders to advance institutional goals.
- Identify strategic partnerships and connections; provide coordination for meetings and communications related to high-level initiatives.
- Support policy development, oversight, strategic planning, governance processes, and collaboration with college-wide councils and committees.
- Advise on institutional policies and procedures to ensure alignment with mission, values, and strategic goals.
- Represent and communicate on behalf of the President at meetings and conferences; handle inquiries with sound judgment and discretion.
- Coordinate the President's Office involvement in shared governance processes and, as needed, assist with labor negotiations and contract-related information.
Financial Management and Budget Preparation
- Prepare and coordinate reports for financial oversight, purchasing, inventory, and personnel records for the President's Office.
- Create and analyze financial reports; assist with budget planning and forecasting; monitor budgets and expenditures.
- Manage and reconcile department credit cards; complete financial and payroll documents using electronic approval processes.
- Manage time and leave for the President's direct reports and oversee personal services contracts and stipends for the President's Office.
Crisis Management
- Respond proactively to emergencies, coordinate with departments and external support to ensure resolution; draft and communicate emergency information as needed with discretion.
Administrative Suite Management
- Supervise the Administrative Assistant 4 (AA4) in the President's Office and oversee front desk operations, scheduling, and coverage.
- Provide comprehensive administrative support including calendar and travel arrangements, high-level communications, records management, and cross-college communications.
- Draft and edit high-level correspondence; develop and train on standard operating procedures for college-wide use; handle confidential information with discretion; exercise signature authority on administrative items.
Event Management
- Lead coordination of major college-wide events (e.g., President's Day, Employee Service Awards, Board of Trustees Meetings, District-wide meetings, President's Cabinet, executive team meetings, town halls).
- Arrange facilities, catering, travel, and other logistics for on- and off-site events.
What You Bring as a Candidate
- Bachelor's degree in Business Administration, Public Administration, Organization Management, or related field, or equivalent combination of education, training, and experience.
- Four or more years of executive administrative experience or similar high-responsibility administrative support roles.
- Strong written and verbal communication skills; ability to engage across diverse teams and leadership levels.
- Proven ability to build professional relationships and influence cross-functional teams; experience managing up, across, and laterally to move initiatives forward.
- Commitment to culturally responsive and equitable service to diverse populations.
- Strong problem-solving, organizational, and project management skills; proficiency with Microsoft Office and related software; familiarity with financial software.
- Ability to handle multiple assignments under tight deadlines with discretion and sound judgment; experience progressing strategic opportunities and managing competing priorities.
