Clear Winds Technologies is a fast-growing AI and IT managed services company. Our clients trust us to keep their businesses running, and our team is the reason they stay. We are scaling quickly, and our founder and CEO needs a right hand who can keep pace.
The Role
We are hiring a world-class Executive Assistant to the CEO. This is a high-trust, high-impact role for someone who thrives on precision, moves fast without sacrificing accuracy, and protects the executive's time, reputation and confidential information. You will be more than a scheduler: you will anticipate needs, spot problems before they surface, and solve them, so the CEO can stay focused on leading a rapidly growing business.
What You Will Do
- Own the CEO's calendar and time. Manage a complex, ever-changing schedule across meetings, travel, clients and personal commitments. Protect focus time, resolve conflicts before they happen, and always be on time and prepared.
- Be the gatekeeper. Screen calls, email and visitors with sound judgment. Know who gets immediate access, who gets a scheduled slot and who does not get through.
- Manage communications. Draft, review and send correspondence, and keep the executive's inbox organized, triaged and moving, with accuracy and a polished tone.
- Anticipate and solve. Understand how a growing business operates, foresee needs, bottlenecks and risks, and arrive with solutions rather than questions.
- Prepare the CEO to win. Assemble briefing materials, agendas, reports and presentations. Capture meeting notes, track action items and follow through until they are done.
- Coordinate across the company. Serve as a trusted liaison between the CEO and the leadership team, employees, clients and vendors. Keep projects and priorities on track.
- Handle sensitive information with total discretion. Manage confidential business, financial, HR and personal matters, and keep them protected from anyone in the office who is not authorized to see them.
- Plan travel and events. Arrange detailed itineraries, leadership meetings, client events and company gatherings.
- Manage expenses and records. Process expense reports, track invoices and approvals, and maintain organized, accurate, audit-ready files.
- Put AI to work. Use AI tools to automate routine work, draft and summarize, improve workflows and raise the speed and quality of the CEO's office.
- Take on special projects. Support strategic initiatives as the company grows, and help build the systems and processes that let the CEO's office scale.
