Job summary

Deck Armor Inc. in Tampa, FL is seeking an organized executive assistant to support the CEO and drive franchise sales operations. You will manage calendars, coordinate calls and visits, and ensure deadlines are met across the pipeline.

This role steps into an established system with room to improve processes. You will handle travel, document delivery, invoicing coordination, and onboarding for new locations while maintaining meticulous records and timely communication.

Qualifications

  • 2+ years supporting an executive, owner, or sales leader, or in a comparable administrative or operations role.
  • Excellent written communication; much of this job is email, and it represents our company
  • Proven follow-up discipline; you close loops without being reminded
  • Comfort with deadlines that cannot slip, and the instinct to warn people early rather than late
  • Fluent with business software and quick to learn new systems; you will work in our CRM daily
  • Comfortable with numbers: invoicing, tracking payments, and knowing what is owed and what has been paid
  • Discretion with confidential business, financial, and prospect information
  • Valid driver’s license and reliable transportation

Responsibilities

  • Support the CEO. Own his calendar and protect his selling time. Schedule and confirm prospect calls, discovery calls, and webinars. Prepare him before each call with what he needs and capture what came out of it after. Track his commitments and follow up until they are closed. Handle travel and day-to-day logistics.
  • Work alongside the CEO on the franchise sales pipeline. Send the introductions, information requests, scheduling emails, and follow-ups. Keep every prospect moving so no one goes cold. Maintain our CRM so location applications and the pipeline stay accurate at any moment. Review the pipeline with him weekly, flag what needs his attention, and handle what does not.
  • Own the document and signing timeline. Send required franchise documents, log delivery dates, and track the waiting periods and deadlines that follow. Prepare agreements for signature, chase missing signatures and paperwork before they hold up a closing, and keep a clean file on every deal. Give the CEO advance warning on every date that matters.
  • Make sure we get paid. Invoice franchise fees and confirm payment lands in full and on time. Track deposits, balances, and payment schedules. Collect monthly fees, material orders, and minimum purchases from each location. Follow up on anything past due, and keep an eye on account balances so recurring obligations are always covered. This is not a bookkeeping job; our books and payroll are handled elsewhere.
  • Host prospects, coordinate training, and run events. Plan shop visits and discovery days from arrival to departure. Coordinate meetups and events, including the details that make people feel taken care of. Schedule training classes, confirm attendees, prepare materials, handle travel logistics, and track who has completed training before a location opens. Help plan and staff our presence at boat shows and industry events, and plan the occasional company event.
  • Support our franchise locations. Be their first point of contact for everyday questions. Run new locations through our onboarding process and keep each one on track. Maintain the document library, work with our marketing team to keep the franchise portal current, and collect insurance certificates, signed agreements, and onboarding paperwork.
  • Help build the playbook. Work with the CEO to turn what we learn into written procedures, checklists, and templates as the franchise system develops, so the next location is easier than the last. Improve the systems already in place where you see a better way.
  • Keep us organized. Maintain a master calendar of renewals, deadlines, and insurance dates with advance warning, plus birthdays, work anniversaries, and franchise opening anniversaries so we actually acknowledge our people. Keep files findable in under a minute, track action items, pitch in on the occasional shop job when boats come through, and help with anything else we may need, because in a company this size the list changes every week.
