BDA is seeking an experienced Executive Assistant to support our CEO in Woodinville, WA. This highly visible role handles complex scheduling, executive communications, travel planning, and cross-functional initiatives across the business.

The successful candidate anticipates needs with sound judgment and calm, precise follow-through in a fast-paced environment. Flexibility to support outside standard hours, including some evenings and weekends, is essential.

Qualifications

  • 5–7 years in a senior EA role supporting a CEO or C-suite in large enterprises.
  • Proven ability to manage complex executive scheduling and shifting priorities.
  • Exceptional written/verbal communication and executive presence.
  • Willingness to work non-standard hours, including evenings and weekends.
  • Discretion handling sensitive information with professionalism.
  • Advanced MS Office skills (Outlook, Word, Excel, PowerPoint).

Responsibilities

  • Provide strategic, high-level admin support to the CEO including calendar and travel planning.
  • Coordinate scheduling across priorities, teams, and time zones.
  • Prepare executive materials, reports, and confidential communications.
  • Coordinate meetings and follow-up actions across cross-functional teams.
  • Liaise between CEO, internal teams, partners, and senior stakeholders.
  • Maintain discretion with sensitive information.
  • Drive structure for fast-moving initiatives and project coordination.

About the Role

BDA is seeking an experienced Executive Assistant to support our CEO. This is a highly visible role for someone who can move confidently between complex scheduling, executive communications, travel, and initiatives across the business - often while priorities are changing.

You'll be a trusted partner who anticipates needs, exercises sound judgment, and brings calm, precise follow-through to a high-energy environment. The right person enjoys the pace, builds strong relationships at every level, and understands when a detail needs immediate attention and when to step back and see the bigger picture. Flexibility to support the CEO outside standard business hours, including some evenings and weekends, is essential.

Key Responsibilities
  • Provide strategic, high-level administrative support to the CEO, including complex calendar management, meeting coordination, and domestic/international travel planning.
  • Manage highly dynamic scheduling across multiple priorities, stakeholders, and time zones while anticipating conflicts and proactively identifying solutions.
  • Prepare executive materials, presentations, reports, and confidential communications with exceptional attention to detail and accuracy.
  • Coordinate executive meetings, leadership sessions, and cross-functional initiatives, including agendas, materials, follow-up actions, and tracking deliverables.
  • Serve as a trusted liaison between the CEO, internal teams, external partners, board members, and senior stakeholders.
  • Handle sensitive business information and confidential matters with the highest level of professionalism and discretion.
  • Bring structure and organization to fast-moving initiatives through strong prioritization, project coordination, and independent problem-solving.
  • Support operational, administrative, and strategic initiatives driven by the Office of the CEO in a rapidly evolving business environment.
Qualifications
  • Availability to work non-standard business hours, including evenings and weekends.
  • 5-7 years of experience in a senior-level Executive Assistant role supporting a CEO or C-suite executive within a Fortune 500 or Fortune 1000 organization.
  • Demonstrated longevity supporting senior executive leadership in complex corporate environments.
  • Proven expertise managing highly complex executive scheduling and shifting business priorities.
  • Strong executive presence with exceptional written and verbal communication skills.
  • Outstanding attention to detail, organizational ability, and follow-through.
  • Advanced critical thinking and complex problem-solving capabilities.
  • Ability to thrive in a demanding, high-accountability environment requiring adaptability, professionalism, and resilience under pressure.
  • Experience handling sensitive information and executive-level business matters with discretion.
  • Advanced proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
  • Ability to safely lift and carry items weighing up to 15 pounds.
  • Ability to remain standing and/or move throughout the workday as needed to perform job duties.
Preferred Qualifications
  • Prior experience directly supporting a CEO in a large-scale enterprise environment.
  • Background working within large-scale corporate, technology, professional services, or fast-growth organizations.
  • Exposure to board support, legal, governance, contract, or compliance-related administrative processes is a plus.
  • Strong project coordination and cross-functional collaboration experience preferred.

We are pleased to share the base salary range for this position is $125,000 to $135,000. If you are hired at BDA, your compensation will be determined based on factors that may include geographic location, skills, education, and experience. In addition to these factors, we believe in the importance of pay equity and consider internal equity of our current team members as a part of any offer. In the spirit of pay transparency, the range listed is the full base salary range for the role and hiring at the top of the range would not be typical, in order to allow for future salary growth. The range listed is just one component of BDA's total compensation and rewards programs, which includes: robust PTO; vacation, a paid volunteer day, holidays and summer Fridays, Benefits; medical, dental, vision, life, and AD&D insurance, 401k; tuition reimbursement, mental health and financial wellness programs and professional development opportunities including tuition reimbursement. Certain revenue-generating positions may be eligible for incentive compensation.
