Responsibilities

  • Calendar management: organize executive schedule, meetings, travel.
  • Serve as liaison between executive and stakeholders; screen calls and emails.
  • Coordinate meetings: agendas, materials, minutes as needed.
  • Arrange domestic and international travel logistics.
  • Prepare, edit, and format documents and presentations.
  • Support special projects and research tasks; track progress.
  • Manage files, records, and documentation; ensure accuracy.
  • Track expenses and submit reimbursements per policy.
  • Learn relevant federal/state laws for organizational delivery.
  • Maintain confidentiality and discretion in all dealings.
  • Interact courteously with public and colleagues.

GENERAL DESCRIPTION:

The purpose of this position is to support the Oconee County Administration & Attorney team. The ideal candidate will be proactive, highly organized, and able to manage multiple priorities. The Executive Assistant/Paralegal will handle a range of administrative duties, manage daily schedules, coordinate travel, prepare documents, and serve as a key point of contact for internal and external stakeholders. Conducts legal research in support of Attorney.

  • Calendar Management: Organize and manage the executive’s schedule, including meetings, appointments, and travel arrangements, ensuring effective time management

  • Communication: Serve as a liaison between the executive and internal/external stakeholders. Screen calls, emails, and requests, responding on behalf of the executive when appropriate

  • Meeting Coordination: Arrange and prepare for meetings, including setting up conference rooms, preparing agendas, compiling materials, and recording minutes as needed

  • Travel Arrangements: Plan and coordinate domestic and international travel, including booking flights, accommodations, and ground transportation

  • Document Preparation: Prepare, edit, and format documents, reports, presentations, and correspondence with accuracy and attention to detail

  • Project Assistance: Assist with special projects and research tasks, ensuring timely completion and keeping the executive informed of project status

  • File and Record Management: Organize and maintain files, records, and other important documentation, both physical and digital

  • Expense Tracking: Manage and submit expense reports and track reimbursements according to company policies

  • Knowledge of or willingness to learn relevant federal and state laws, regulations, policies, for organizational functions and delivery of services

  • Confidentiality: Handle sensitive and confidential information with the utmost discretion and professionalism

  • Ability to deal courteously and effectively with the public, and colleagues


Requirements

KNOWLEDGE, SKILLS, AND ABILITIES:


  • Proficiency with office productivity tools, including Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and calendar management software

  • Excellent written and verbal communication skills, with strong attention to detail

  • Highly organized and able to multitask effectively in a fast-paced environment

  • Discretion and confidentiality in handling sensitive information

  • Strong time management and problem-solving skills, with the ability to anticipate needs and stay ahead of tasks

  • Self-motivated and desire to learn and acquire new skills


EDUCATION AND EXPERIENCE:


  • Bachelor’s degree in Business Administration, Communications, or a related field (preferred)

  • 3+ years of experience as an Executive Assistant, Administrative Assistant, or similar role supporting senior executives


LICENSES, CERTIFICATIONS, OR REGISTRATIONS:

Required: Must have and maintain a valid driver’s license.


Preferred: None.


PHYSICAL DEMANDS:

The work is light work which requires exerting up to 20 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects.


This position has the following special vision requirements: close vision (clear vision at 20 inches or less); color vision (ability to identify and distinguish colors).
