  • Own the Mission Execution operating cadence: schedule and run staff meetings, program reviews, all-hands, and skip-levels; publish agendas, capture decisions, and drive action items to closure.
  • Maintain the organization's action item and commitment tracking, and chase owners until items are closed.
  • Build and maintain recurring reporting: staffing/headcount views, hiring pipeline status, OKR progress, and other leadership metrics.
  • Own the documentation environment (Confluence spaces, templates, review artifacts, and retention) so material is findable and current.
  • Prepare, format, and quality-check materials for staff meetings, program reviews, and executive/customer briefings.
  • Plan and execute team offsites, working sessions, conference attendance, and customer visits end to end.
  • Administer purchase requests, expense reconciliation, and vendor coordination with Finance and Supply Chain.
  • Coordinate onboarding logistics across People Ops, IT, and Facilities.
  • Run discrete operational projects for the SVP with limited direction.
  • Handle confidential personnel, customer-proprietary, and export-controlled information with integrity.

About the role

Muon seeks an Executive Assistant to support the SVP of Mission Execution and the Mission Execution leadership team. This role is operations-focused rather than administrative in the traditional sense: the SVP manages his own calendar and travel, and this person instead owns the operating mechanics of the organization — the meeting cadence and the artifacts that come out of it, the action items and whether they actually close, the org's documentation and reporting, and the logistics behind offsites, reviews, and customer visits.

Mission Execution is one of Muon's largest organizations — roughly 130 people spanning mission management, mission systems, mission instruments, hardware engineering, production, and propulsion — and it is where our satellite programs are built, integrated, tested, and flown. Where a program manager owns a program, this role owns the connective tissue that keeps seven functions and dozens of programs running on a common rhythm.

The ideal candidate is highly organized, unusually persistent about follow-through, comfortable working with technical people and technical content, and able to operate with minimal direction in an environment where priorities shift with hardware. The role will have significant impact by making the organization's cadence reliable, its data trustworthy, and its commitments visible.

This position is hybrid and requires working on-site in our San Jose, CA office three days per week.

Responsibilities
  • Own the Mission Execution operating cadence: schedule and run the logistics for staff meetings, program reviews, all-hands, and skip-levels; publish agendas, capture decisions, and drive action items to closure.
  • Maintain the organization's action item and commitment tracking, and chase owners until items are actually closed — not just logged.
  • Build and maintain recurring reporting: staffing and headcount views, hiring pipeline status, OKR progress, and other metrics the leadership team runs on.
  • Own the organization's documentation environment — Confluence spaces, templates, review artifacts, and record retention — so material is findable and current.
  • Prepare, format, and quality-check materials for staff meetings, program reviews, and executive and customer briefings.
  • Plan and execute team offsites, working sessions, conference attendance, and customer visits end to end.
  • Administer purchase requests, expense reconciliation, and vendor coordination in partnership with Finance and Supply Chain.
  • Coordinate onboarding logistics, space, equipment, and access for a rapidly growing organization, working across People Ops, IT, and Facilities.
  • Run discrete operational projects for the SVP — process rollouts, data pulls, org communications — with limited direction.
  • Handle confidential personnel, customer-proprietary, and export-controlled information with a high level of integrity and discretion.
Qualifications
  • 5+ years supporting a technical organization in an executive assistant, business operations, program operations, or engineering operations capacity.
  • Experience in aerospace, hardware, or another engineering-driven environment preferred; comfort with technical vocabulary and program terminology.
  • Demonstrated ownership of a recurring operating cadence — meetings, reporting, and action tracking — for an organization of meaningful size.
  • Strong data and reporting skills: comfortable building and maintaining views in spreadsheets and pulling from multiple systems without hand-holding.
  • Expertise in Google Workspace, Slack, Confluence, and Jira; PCs.
  • Superior organizational skills including excellent written and verbal communication.
  • Proven ability to manage multiple projects simultaneously and autonomously, and to close loops without being asked twice.
  • Ability to navigate and flourish in a fast-paced, start-up environment where priorities shift with hardware and program milestones.
  • Demonstrated discretion handling sensitive personnel, customer, and program information.
  • Willingness to commute to our Mountain View and San Jose offices at least 3 times per week, and up to 5 days if needed due to business needs.
  • Associates degree required; Bachelor's preferred.
Salary

The salary range for this role is $140,000 - $154,000, plus a competitive equity grant and comprehensive benefits package. Final compensation will be determined based on skills, qualifications, experience, and geographic location as assessed during the interview process.
