Mount Sinai in New York seeks an Executive Assistant II to provide direct support to the Hematology/Medical Oncology Division Chairman at Tisch Cancer Center. You will handle calendar management, travel planning, meeting coordination, and confidential communications for a large academic division.

The Executive Assistant II provides direct support to the Chairman of the Hematology/Medical Oncology Division within the Tisch Cancer Center of Mount Sinai. The Division Chairman is responsible for the oversight of over 100 full-time faculty members, a clinical fellowship training program with 23 trainees, and the overall financial and operation health of a wide array of cancer disease-specific programs and research laboratories. The Executive Assistant II will be required to manage the clinical, administrative and/or academic activities relating to the Division Chairman’s multiple roles.
Duties will include time-sensitive calendar management, coordination of meetings and conferences, triaging of emails and calls, preparation of presentation materials and overseeing monthly newsletter. The ideal has excellent communication skills and be able to handle confidential and time-sensitive materials with professionalism.
The Tisch Cancer Center is a vital component of the Icahn School of Medicine at Mount Sinai Hospital and plays a key role in the Mount Sinai Health System, which is one of the largest health care systems in the nation. Bachelors degree preferred
7+ years related administrative or business experience, with 5+ years at the executive level
Prior experience in medical staff credentialing a plus
Preferred:
Ability to work proactively and independently is necessary, as is the ability to track and follow-through on projects
Ability to work effectively in a collaborative manner with all departmental faculty and staff, as well as other institutional representatives
Solid experience in using MC Office programs and software including Word, Excel, PowerPoint, and Outlook as well as experience with Doodle Poll and Zoom
Manages the heavy and time-sensitive calendar of the Division Chairman of Hem/Onc.
Assists in the planning and logistical arrangements for meetings, forums, conferences, and seminars. Assists in the development of informational packets for participants.
Manage Dr. Parsons’ calendar and ensure accurate scheduling.
Coordinate domestic and international travel, including meeting registrations, hotel bookings, and reimbursement submissions.
Triages and screens select emails and calls in a respectful and courteous manner; referring inquiries to appropriate individuals for follow up and/or response.
Assists with the coordination of academic appointments, promotions and re-appointments for the Division of Hematology/Medical Oncology. Ensures the completeness and accuracy of all forms for review by the Division Chief.
Assists Division Chairman with submissions of monthly American Express transactions.
Partners with administration in the planning, scheduling and coordination of divisional activities (such as special events) to ensure that specific are accomplished on time and within budget.
Responsible for coordinating, tracking and ensuring 100% compliance from Faculty on various institutional requirements, to include but not limited to: Annual Health Review, Annual Compliance Training, Flu Vaccination Declination and Physician Time Studies.
Maintains select Faculty files, many of which are confidential in nature. Ensures that files comply with regulatory standards.
Plan and organize quarterly Joint Leadership meetings with Lily Persaud, Paulette Moore-Akonnor, and Michelle Johnson.
Interacts frequently with offices of senior leadership, including the Dean’s Office and the President’s Office.
Submit receipts for payment processing.
Performs other related duties.

Actual salaries depend on a variety of factors, including experience, education, and hospital need.
