Job summary

Guardian Life is seeking an experienced Executive Assistant to support the HeadofFinancial Protection & Retirement Solutions and an additional senior executive. The role requires high emotional intelligence, discretion, and organizational prowess to manage diverse duties and tight deadlines.

You will coordinate travel, manage calendars, and prepare materials while working closely with senior leadership to drive organizational success.

Qualifications

  • Bachelor's degree in business administration or related field or relevant experiences.
  • 5+ years of experience as an Executive Assistant supporting C-suite level senior executives.
  • High emotional intelligence with strong organizational skills.
  • Proficient in Microsoft Office and AV/meeting setup.

Responsibilities

  • Provide proactive executive administrative support with professionalism.
  • Coordinate travel arrangements and manage expenses.
  • Manage calendar, schedule meetings, and resolve conflicts.
  • Prepare correspondence, reports, and presentations.
  • Collaborate with sourcing and other teams on purchase orders and vendor payments.

Job description

The Executive Assistant will support the HeadofFinancial Protection & Retirement Solutionsandoneadditionalsenior executive on the team. The role requires high emotional intelligence and interpersonal skills, highly technical capability with suite of tools, an incredible work ethic, and the ability to proactivelyanticipateand manage a variety of executive needs.

The Executive Assistant will exercise considerable discretion injudgment andconfidentiality andwillpossessthe organizational skills to support the varied tasks and deadlines that arerequireddaily. The successful candidate will have the opportunity to work closely with senior leadership and play a key role in the success of the organization.

You will
  • Provide proactive level of executive administrative support, ensuring excellent service and professionalism with every interaction.

  • Demonstrateabilitytosolve problemsand bring forward recommended solutions.

  • Consistentlydemonstrateexcellent judgment, and integrity,exhibitinga high levelof confidentiality, discretion and diplomacy when dealing with sensitive correspondence, issues, and information.

  • Coordinate all travel arrangements (flights, car service, hotel reservations, etc.) and process reimbursable expensesin a timely manner.

  • Proactively managecalendar, schedule meetings, arrange meetinglogisticsand resolve calendar conflicts.

  • Interact with executives and assistants internally and externally, responding to requests withan appropriate senseof urgency.

  • Prioritize and manage your own workflow to ensure quality and efficiency to meet deadlines and be flexible in adjusting to changing work priorities.

  • Proactively address, or resolve issues, withinownarea of accountability and keep leadership informed of any matters requiring their attention.

  • Collaborate with sourcing team and other necessary parties toinitiatepurchase orders (PO) and manage vendor payments effectively.

  • Prepare correspondence, reports, presentations, and other materials, ensuring deadlines are met.

  • Assistwith other special projects, performadditionalassignments, as needed – growth mindset.

You have
  • Bachelor’s degree in businessadministration, relatedfield, or relevantexperiences.

  • 5+ years of experience as an Executive Assistant supportingC-suite levelsenior executives.

  • Organizationally savvy, withkeenability to read sensitive situations and respond effectively.

  • Strong knowledge of all audio visual set up (i.e., video conferencing) and ability to successfully collaborate withAVteam as dictated by meeting requirements.

  • Excellent communication skills, both written and verbal.

  • Strong organizational skills and attention to detail.

  • Ability to multitask and manage competing priorities.

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

  • Experience in project management and event coordination.

  • Ability tomaintainconfidentiality and handle sensitive information.

  • Ability to work independently and as part of a team.

  • Flexibility to work outside of regular business hours when needed.

  • Flexibility to travel as needed to offsite meetings, key events etc (10% of time maximum)

Location/Travel
  • Hybrid role –3days in office,2days WFH.Location- HudsonYards.

Salary Range:

$81,580.00 - $122,365.00

The salary range reflected above is a good faith estimate of base pay for the primary location of the position. The salary for this position ultimately will be determined based on the education, experience, knowledge, and abilities of the successful candidate. In addition to salary, this role may also be eligible for annual, sales, or other incentive compensation.
