Job description

Position Summary

Executive Assistant to senior leader(s) providing exceptional customer service, productivity support, and execution of policies, procedures, and programs to ensure projects are well managed.

Essential Job Functions
  • Track and assist in the implementation of national Transwestern initiatives.
  • Act as project manager for special projects, planning, coordinating presentations, and disseminating information.
  • Serve as liaison with other departments and external agencies.
  • Manage executive calendar and schedule.
  • Initiate and respond to executive correspondence and handle confidential information.
  • Schedule and organize complex activities, including meetings and travel.
  • Prepare and reconcile expense reports, and review vendor and staff expenses.
  • Support accounting needs and prepare monthly and year‑end financial reports and portfolio roll‑ups using MS Excel.
  • Assist in budget processes, including analysis, reforecasting, CAM reconciliation, and collections for regional properties.
  • Assist with new‑hire paperwork, Human Resources initiatives, and the completion of relevant forms.
  • Compose, type, and balance correspondence, memos, and expense reports.
  • Assist with business plan development and management of client and prospect databases.
  • Complete goals and projects within stipulated deadlines and metrics.
  • Support executives with additional projects as requested.
Position Requirements
  • Bachelor’s degree in Business Management, Finance, Accounting, Communication, or related discipline.
  • At least 8 years of office experience supporting an executive‑level professional.
  • Advanced proficiency with MS 365 suite (Word, Outlook, Excel, PowerPoint).
  • Typing speed of at least 60 words per minute.
  • Knowledge of financial analysis software (Argus, MRI, Skyline preferred).
  • Strong confidentiality skills and ability to protect sensitive information.
  • Excellent spelling, grammar, and phone etiquette.
  • Strong oral and written communication, organized, and able to set priorities.
  • Ability to multitask, manage changing priorities, and handle a heavy workload.
  • High customer service orientation and entrepreneurial mindset.
  • Ability to work overtime when necessary.
