About the Role

The Executive Assistant is responsible for providing administrative support to a leader. This position coordinates and manages calendars, screens incoming correspondence, and manages meeting logistics on behalf of the leader. This position anticipates needs and issues — recommending and acting to proactively resolve challenges while providing the highest level of professionalism, diplomacy, and independent discretion in decision-making matters with a proven ability to honor confidentiality.

Your Role Responsibilities? Here's What You'll Do.
  • Coordinate, manage, and maintain multiple executives' or one senior executive's calendar and daily schedule — screening incoming correspondence and communications, responding independently when possible, and anticipating the needs of executive(s) by resolving operational and administrative issues before they arise.
  • Manage logistics for internal and external meetings — including scheduling conference rooms, arranging catering, preparing agendas, managing the collection and production of meeting materials, and recording and distributing meeting minutes as necessary.
  • Arrange travel plans and itineraries — compiling documents for travel-related meetings and ensuring expense reports and purchase orders are completed accurately within budget limits and approved within the system.
  • Research, compile, and summarize complex or large quantities of data into concise work products — drafting reports on the status of major projects, action item reports, and other updates that keep the executive informed on assignments, projects, and general operations at all times.
  • Draft, edit, and distribute approved communications to staff, external key stakeholders, and executive leaders on behalf of the leader — maintaining confidential and sensitive information with the highest level of professionalism, diplomacy, and discretion.
  • Operate as a trusted advisor on issues and trends — utilizing internal systems and corporate resources to find innovative ways to improve efficiency, and mentoring, coaching, and providing feedback to other team members.
Role Essentials
  • Associate's degree or equivalent experience, with demonstrated experience directly supporting and working with executives — and the ability to work in a flexible, fast-paced environment while managing a high volume of responsibilities with strong attention to detail.
  • Strong oral and written communication skills — demonstrating a professional demeanor and the ability to interact with others with discretion and tact at all levels of the organization.
  • Strong organizational, multi-tasking, and time management skills — with a proven ability to provide exceptional follow-through, perform under deadline pressure, and handle a high degree of stress while maintaining quality and professionalism.
  • Strong interpersonal skills — able to maintain solid rapport with team members and professionalism with those outside of the department, with a demonstrated ability to handle sensitive information with discretion and tact.
  • Self-motivated with a strong work ethic and a proactive approach to wide-ranging responsibilities — with the ability to work independently and in a team environment, and up to 5% travel time required.
What We'd Like to See
  • Proficiency with Microsoft Office and Microsoft Outlook (or equivalent email and calendar software) — with the ability to adaptively and confidently leverage digital technologies for executive office management.
  • Strong ability to develop and use engaging, informative, and compelling presentation methodologies — with experience preparing executive-level materials, agendas, and reports.
  • Demonstrated ability to anticipate the needs of executive(s) — resolving operational and administrative challenges proactively and serving as a trusted advisor on issues, trends, and best practices.
  • Experience drafting, editing, and distributing approved communications on behalf of senior leaders — with a strong command of professional business writing and stakeholder communication.
  • Experience researching and summarizing complex or large quantities of data into concise work products — with strong critical thinking skills and the ability to keep executives informed on the status of key assignments and projects.
Pay Transparency

The base salary compensation range for this role is $84,690 – $97,819 per year. Actual compensation will be determined based on experience, qualifications, and other job-related factors in accordance with applicable laws.
