Qualifications

  • 5+ years of experience supporting multiple senior executives in an early-stage, hypergrowth, or similarly ambiguous environment.
  • Excellent written and verbal communication, with tactful diplomacy.
  • Strong organizational systems to keep details from falling through the cracks.
  • Discretion handling confidential information and sensitive material.
  • Ability to leverage AI tools to improve workflows and efficiency.
  • Comfort working across time zones and coordinating complex travel when needed.

Responsibilities

  • Serve as the primary Executive Assistant and provide additional support to 3 other executives based on evolving business needs.
  • Own complex calendars across multiple time zones, balancing priorities and preferences.
  • Act as gatekeeper to evaluate requests and protect time for critical work.
  • Coordinate domestic and international travel, visas, itineraries, and logistics.
  • Anticipate needs and provide proactive support.
  • Provide personal-assistant support for the Chief Scientific Officer and Co-Founder with discretion.
  • Partner with the CEO's Chief of Staff to align leadership schedules and priorities.
  • Identify conflicts and decisions that could become blockers.
  • Support cross-functional projects and offsites as opportunities arise.

Role Overview

Protege is hiring an Executive Assistant to support multiple executives and create leverage across a fast-moving, cross-functional environment. This role sits close to company leadership and requires exceptional judgment, communication, discretion, and the ability to keep priorities moving when the operating context changes quickly.

The right person has experience in early-stage, hypergrowth, fast-paced, and high-pressure environments. They are equally strong in communicating in person and in writing, can work diplomatically with a wide range of personalities, and manage sensitive information with a high degree of confidentiality.

This role is for someone who can support multiple executives without losing context, create clarity across competing priorities, and remain calm and effective when plans shift.

What You’ll Do
  • Serve as the primary Executive Assistant and provide additional support to 3 other executives based on evolving business needs.

  • Own complex, frequently changing calendars across multiple time zones, balancing business priorities, executive preferences, and competing demands.

  • Act as a thoughtful gatekeeper by evaluating requests, resolving scheduling conflicts, and protecting time for critical work.

  • Coordinate complex domestic and international travel, including flights, accommodations, ground transportation, visas, itineraries, and other travel requirements.

  • Anticipate needs, surface competing priorities, and provide increasingly proactive support.

  • Provide occasional personal-assistant support for the Chief Scientific Officer and Co-Founder with discretion and confidentiality.

  • Partner closely with the EA & Chief of Staff to the CEO to coordinate leadership schedules, meetings, travel, and shared priorities.

  • Identify conflicts, dependencies, and decisions that require attention before they become blockers.

  • Support cross-functional projects such as People team initiatives and company offsites as opportunities arise.

  • Experienced: You have 5+ years of experience supporting multiple senior executives in an early-stage, hypergrowth, or similarly ambiguous environment.
