Job Summary:

Executive Assistant - SVP Support This Executive Assistant will join Disney Consumer Products (DCP) to support the SVP, Americas & Global Softlines. Responsibilities include senior executive scheduling across multiple time zones, travel booking, expense reports, meeting setup and preparation, event planning and other administrative support as needed with a high degree of international collaboration. The position requires someone who has a professional communication style, pays close attention to detail and thinks ahead, has great organizational skills, and the ability to juggle multiple high priority requests and meet tight deadlines. It requires a high level of integrity and discretion in handling confidential information, professional decorum to represent and interface with senior executives both inside and outside the Company.

This is a full time role based in Glendale, CA.

What You Will Do

The successful candidate will proactively anticipate challenges and needs, ensuring seamless operations by preparing ahead for scheduling, materials, deadlines, and logistical requirements. They will be able to tactfully and effectively manage the overall functional and organizational needs in a fast-paced environment with a keen attention to detail.

On any given day you might:

  • Handle a heavy calendar and stay on top of ever-changing calendars and coordinate, sometimes with short notice, meetings among Executive teams operating across multiple time zones

  • Manage all travel arrangements and trip oversight including complex-multi-country travel, and all related expense management and processing

  • Assist with departmental tasks, including conference room requests, team events, employee recognition and offsites

  • Schedule both virtual and in-person meetings, townhalls and offsites with multiple global attendees across different time zones. Coordinate meeting space, conference calls, or video conferences to proactively ensure the technology functions properly prior to meeting start time

  • Manage and prepare documents including meeting agendas, presentation material and recap meeting notes

  • Maintain standards of strict confidentiality with respect to all matters and documents

  • Interact with various internal departments, senior executives and their offices as needed, as well as team members, external organizations, retailers, licensees and others globally

  • Support basic office functions as required (such as ordering supplies, including hardware and software)

  • Promote teamwork both internally and externally, work exceptionally well with executives, staff, and external associates and visitors at all levels

  • Assist with special projects, as needed

  • Perform other administrative duties as requested, or as responsibilities dictate

Required Qualifications & Skills
  • 7+ years proven administrative experience supporting senior level executives in a corporate environment

  • Demonstrated ability to prioritize, meet deadlines, make decisions, and change course of action quickly

  • Extremely comfortable working in fast-paced environments

  • Detail oriented with the ability to maintain professionalism under pressure

  • Ability to anticipate needs, and be proactive, resourceful and flexible

  • Strong people skills, including the ability to work effectively with other executives, assistants, and staff at all levels

  • Strong proficiency with computers, phones and office equipment including Microsoft 365 Office programs, SAP, Concur, and Coupa, as well as the ability to quickly learn new technologies and applications for MAC, iPhone and iPad

  • Exceptional organizational and follow-thru skills with the ability to work on many projects simultaneously

  • Effective communicator, both verbally and written

  • Proactive in thinking of ways to improve productivity and efficiency

Preferred Qualifications
  • Experience at The Walt Disney Company and understanding of a wide swath of business units and disciplines

  • Proven experience with Video Teleconferencing (VTC) equipment and applications

  • Experience working in an entertainment, marketing, or consumer products environment

  • Experience working with international territories and time zones

  • Experience supporting teams in multiple locations

Preferred Education
  • Bachelor’s degree or equivalent experience

The hiring range for this position based in Glendale, CA is $79,400.00-$106,400.00. The base pay actually offered will take into account internal equity and may vary depending on the candidate’s geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, depending on the level and position offered.
