Job summary

Clarios is seeking an Executive Assistant to provide high-level administrative support to our leadership team in Wisconsin. You will manage complex calendars, coordinate cross-functional priorities, and oversee day-to-day operations in a fast-paced environment.

The ideal candidate will demonstrate strong judgment, discretion, and proactive problem-solving, ensuring executive effectiveness across the leadership team.

Qualifications

  • Bachelor’s degree or equivalent combination of education and experience.
  • Proven experience supporting senior leaders in an Executive Assistant or similar role.
  • Strong organizational, time-management, and prioritization skills.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently, anticipate needs, and manage multiple priorities with minimal direction.

  • Prepare agendas, presentations, reports, and briefing materials.
  • Screen requests and coordinate leadership meetings with professionalism and discretion.

  • Maintain organized and secure filing systems, digital and physical.
  • Handle sensitive and confidential information with integrity and discretion.
  • Support internal and external events and special initiatives.

What you will do

The Executive Assistant provides high-level, administrative and operational support. This role serves as a trusted partner, enabling executive effectiveness through the management of complex schedules, coordination of cross-functional priorities, and oversight of seamless day-to-day operations. Success in this role requires exceptional judgment, discretion, proactive problem-solving, and the ability to anticipate needs in a fast-paced, dynamic environment. The ideal candidate demonstrates strong emotional intelligence and a positive, approachable demeanor, fostering trusted partnerships and smooth collaboration across the leadership team.

How you will do it
  • Provide comprehensive administrative support ensuring alignment, efficiency, and effective use of executive time
  • Manage challenging calendars, including scheduling meetings across multiple time zones and balancing competing priorities
  • Coordinate travel arrangements, including itineraries, accommodations, and expense management
  • Prepare agendas, presentations, reports, briefing materials, and executive communications
  • Serve as a central point of contact for internal and external stakeholders, screening and prioritizing requests with professionalism and discretion
  • Coordinate leadership meetings, off-sites, and conferences, including logistics, materials, and follow-up on action items
  • Track deadlines, deliverables, and commitments to ensure timely execution of business priorities
  • Maintain organized and secure filing systems, both digital and physical
  • Handle sensitive and confidential information with the highest level of integrity and discretion
  • Support internal and external events and special initiatives as assigned
  • Identify opportunities to streamline administrative workflows and improve operational efficiency
  • Monitor expenses, prepare expense reports, and support budget management as applicable
  • Assist with project coordination and ad hoc initiatives to support regional leadership objectives
What we look for
Required
  • Bachelor’s degree or equivalent combination of education and experience
  • Proven experience supporting senior leaders in an Executive Assistant or similar role
  • Exceptional organizational, time-management, and prioritization skills
  • Strong written and verbal communication abilities
  • Demonstrated professionalism and ability to handle confidential information
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Ability to work independently, anticipate needs, and manage multiple priorities with minimal direction
Preferred
  • Experience supporting a President, C-level executive, or senior leadership team
  • Exposure to project management, operations, or business support functions
  • Familiarity with scheduling, CRM, and collaboration tools
  • Strong problem-solving skills with sound judgment and decision-making ability
