Associate, Executive Assistant:

We are actively seeking an Executive Assistant to our Chairman and Founder. In this role you will provide executive support and serve as the primary point of contact for internal and external matters relating to the function of Chairman and Founder. This includes client contact, travel, heavy meeting schedule coordinating, materials production and collection. It will also include very personal information and requires organization, attention to detail and the ability to maintain confidentiality and privacy relating to all items you will have access to.

The job will be in our Denver office and requires you to be in the office 3-4 days a week. The office hours are 7:00 am – 4:00 pm MT. As part of this job you will also need to stay in contact with the Chairman and review email requests and complete tasks as needed outside general office schedules. Training will be provided by the person who has held this position for the firm for decades.

The ideal candidate will be creative and enjoy working within a small, entrepreneurial environment that is mission and results driven. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to balance among multiple priorities. The ideal candidate will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to manage a wide variety of activities and confidential matters with discretion.

Job responsibilities include, but are not limited to:

  • Complete a broad variety of administrative tasks. This includes managing an active calendar of appointments; scheduling travel, completing expense reports, and correspondence.
  • Maintain all follow-up tasks as requested/required for the duties of our Chairman & Founder.
  • Chairman & Founder is very involved in client meetings; review of materials and things happen in a fast-paced manner. This candidate is responsible for all oversight of requests, completion of materials as needed for meetings.
Key Responsibilities
  • Calendar & Schedule Management: Manage a complex, evolving calendar, resolve conflicts, and schedule high-profile meetings/events. Must be able to look ahead and assist with completing the scheduling & recording calendar for meetings and providing updates as the meetings evolve. Maintain the calendar and keep the Chairman & Founder informed of calendar items that need to be resolved.
  • Communication & Liaison: Primary contact for the Chairman of the firm. Screen calls/emails, respond on behalf of the Chairman, and liaise with board members, family, and partners.Multiple levels of involvement include, but are not limited to, internal management, board meetings/members, personal needs, travel, client-related and staffing issues.Work directly with our Chief Operating Officer and Director of Administration to keep projects moving and updates communicated.
  • Travel Coordination: Arrange complex domestic & international travel, visas, passports, security, and provide real-time support.Travel documents provided for all travel and records kept for future trips. Work with the Finance team on expense reimbursements as needed.
  • Meeting & Document Preparation: Prepare meeting materials, agendas, presentations (PPT, Excel, work, Adobe), minutes, and ensure follow-up on action items. Collect materials from other participants and ensure that Chairman & Founder has all that is needed in advance of the meeting and travel related to the meeting.
  • Project Support: Assist with strategic projects, research, and documentation.These may vary from personal items to Corporate level. Maintain confidentiality at all times.
  • Confidentiality & Discretion: Handle highly sensitive information with utmost professionalism and judgment.
  • Administrative Oversight: Manage expense reports, travel reports, maintain his office and yours for any supplies that may be needed. You are the key to the smooth functioning of the Chairman & Founder’s office. You will interact with multiple staff members in our Denver office and external offices including the administrative team on client-related materials.

Education and Experience Requirements
  • Bachelor's degree required.
  • Strong work tenure: At least 10 years of experience supporting C-Level Executives
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat

Starting base salary range: $110,000 - $125,000. Salary will be based on factors including, but not limited to, experience, licenses/certifications, industry knowledge, and geographic location.
