Executive Assistant to Chief Financial Officer (CFO)

Location: Dallas, Texas (On-Site) Reports To: Chief Financial Officer (CFO) Job Type: Full-Time, Exempt Schedule: 5 Days On-Site (Non-negotiable)

Position Summary

We are seeking a highly organized, proactive, and professional Executive Assistant to provide comprehensive administrative and executive support directly to our Chief Financial Officer (CFO) in our Dallas, Texas office. This is a crucial, high-visibility role requiring exceptional discretion, sound judgment, and the ability to thrive in a fast-paced corporate finance environment. The ideal candidate will act as a primary point of contact and force multiplier, ensuring the CFO's time is managed effectively and operational support is seamless.

Key Responsibilities
Administrative & Calendar Management
  • Manage a complex and dynamic calendar for the CFO, including scheduling internal and external meetings, appointments, and conference calls.
  • Coordinate extensive domestic and international travel logistics, including flight, hotel, ground transportation bookings, and detailed itinerary preparation.
  • Prepare and process detailed expense reports, ensuring compliance with company policies and timely submission.
  • Act as a gatekeeper and liaison, managing incoming calls, correspondence, and emails, and directing inquiries to appropriate parties with professionalism and urgency.
Meeting & Project Support
  • Prepare, proofread, and edit high-quality professional documents, including presentations (PowerPoint), reports, spreadsheets (Excel), and confidential correspondence.
  • Coordinate and prepare materials for high-level meetings, including Board of Directors, Finance Committee, and leadership team sessions.
  • Attend meetings as requested, taking accurate and concise meeting minutes and tracking follow-up action items to ensure timely completion.
  • Assist with special projects related to Finance and Administration, conducting research, compiling data, and generating summaries as needed.
Office & Culture
  • Maintain highly confidential files, documents, and records with the utmost integrity and discretion.
  • Order and manage office supplies, coordinate catering for executive meetings, and handle general office management duties for the executive suite.
  • Foster a positive, professional, and efficient working environment, collaborating effectively with other Executive Assistants and departments.
Required Qualifications
  • Education: Bachelor's Degree required.
  • Experience: Minimum of three (3) years of experience as an Executive Assistant, directly supporting C-level executives (CFO, CEO, COO, etc.) in a corporate environment.
  • Location: Must be able to work 5 days on-site in the Dallas, TX office.
  • Technical Proficiency: Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint) is mandatory.
  • Discretion: Proven ability to handle sensitive and confidential information with absolute discretion and professionalism.
