Position Overview

We are currently seeking a highly experienced and detail-oriented Executive Assistant to serve as a trusted right-hand to the President of the firm. This role is ideal for someone with strong communication skills, is highly organized, proactive and capable of juggling multiple responsibilities while maintaining a calm and professional demeanor.

Key Responsibilities
  • Executive Support:
    • Manage and maintain the President’s calendar.
    • Prioritize and handle incoming communications (emails, calls, letters) on behalf of the President.
    • Prepare and organize documents for meetings, presentations, and legal briefings.
    • Coordinate logistics for meetings, client engagements, and firm events.
    • Handle finance & distribution activities when needed.
  • Operational Support:
    • Track and follow up on tasks, deadlines, and strategic initiatives.
    • Draft correspondence, reports, and memos with high attention to detail.
    • Liaise between the President and other attorneys, department heads, clients, and vendors.
  • Project & Office Coordination:
    • Assist in managing firm-wide initiatives and special projects.
    • Provide backup support for office receptionists/ administrative staff.
  • Client Relations:
    • Uphold the firm’s client service standards when communicating with clients or handling client-related matters.
    • Ensure prompt and professional handling of client issues directed to the President.
Qualifications
  • 5+ years of experience in a high-level executive assistant role; legal industry experience preferred.
  • Strong understanding of the legal industry, especially personal injury, is a plus.
  • Excellent written and verbal communication skills.
  • Proficient in Google Suite; familiarity with legal software is a bonus.
  • Strong organizational and multitasking abilities with keen attention to detail.
  • Ability to maintain strict confidentiality and professionalism.
  • Bachelor's degree preferred, or equivalent experience.
