Job summary

Colorado Mountain College is seeking an Executive Administrative Assistant to provide high-level administrative support to a senior leader, coordinating communications and confidential data across multiple projects. The role requires strong budgeting and purchasing experience, excellent written and oral communication, and the ability to multitask in a fast-paced campus environment.

Primary Responsibility

Under the direction of a Campus Vice President, Unit Chief, orother Executive Officer, the Executive Administrative Assistantprovides direct administrative support, oversight, communicationscoordination, and data on a broad range of issues that aresensitive, confidential and/or complex in nature. Duties areperformed at a fully operational level, using either establishedstandard guidelines and/or procedural methods, or improvisingsolutions and alternatives.

Pre-requisites for Position (Qualifications Standards)

Education and experience sufficient for the rigors of the position.Examples may include a Bachelor’s Degree from an accredited institution and three years related work experience; or Associate’sDegree and five years related work experience, or High SchoolDiploma/GED and seven years related work experience, or equivalenteducation and experience that will provide the necessary knowledge,skill and abilities to perform the functions of the position. Hiring range = $61,318.40 - $68,140.80 ($29.48 - $32.76 hourly)annual salary depending upon a combination of education andexperience. Benefits include Medical, Dental, Vision, LifeInsurance, Pet insurance, retirement contribution, tuitionreimbursement, annual & sick time, mental health resources,healthy lifestyle benefits, affordable transitional housing may beavailable to the successful candidate based on eligibility andavailability, relocation if applicable. CMC utilizes a wageprogression compensation model that accounts for a candidate’sskill and experience. Although a salary range is listed, salarywill be set commensurate with the successful candidate’squalifications and in compliance with the Equal Pay for Equal WorkAct.

Minimum Qualifications:

Essential Duties

  • Serves as the primary staff person and liaison for a seniorexecutive, providing administrative support, communications,research, and troubleshooting services for a variety of complex andunique situations.
  • Makes high-level contacts of a sensitive nature requiringin-depth knowledge, initiative, discretion, diplomacy, and soundjudgment.
  • Oversees and ensures administrative operations functionsmoothly and effectively in support of campus and departmentalobjectives.
  • Monitors and tracks campus and/or departmental operatingbudgets and expenditures; prepares financial reports andreconciliations; identifies variances; and works collaborativelywith campus leadership and the Fiscal Manager to support effectivebudget management and fiscal stewardship.
  • Serves as the primary campus and/or departmental purchasingofficer, overseeing procurement activities for instructional,operational, facilities, and programmatic needs. Coordinates theacquisition of goods and services; obtains quotes; processespurchase requests; reviews purchasing documentation and invoices;maintains procurement records; develops vendor relationships;ensures compliance with College purchasing policies and procedures;and collaborates with the Fiscal Manager to ensure accurate accountcoding, financial reporting, and fiscal accountability.
  • Responds to inquiries from faculty, staff, students, and thepublic.
  • Independently investigates issues and problems; draftsresponses; identifies and refers matters to appropriate staff foraction; and provides follow-up as needed.
  • Arranges, coordinates, and maintains schedules and calendars;monitors and tracks deadlines.
  • Coordinates meetings, events, projects, activities, andconference calls.
  • Provides staff support for meetings by preparing backgroundinformation and briefing materials; taking, preparing, anddisseminating minutes; and coordinating follow-up actions.
  • Prepares, edits, and composes correspondence, reports,presentations, and other communications.
  • Maintains records, files, and confidential information inaccordance with College requirements and record retentionstandards.
  • Makes travel arrangements and prepares and coordinatesreimbursements.
  • Acts as gatekeeper and liaison for the senior Collegeexecutive, ensuring effective communication and coordination withinternal and external constituents.
  • Performs research; compiles and summarizes information; andparticipates in the development and implementation of systems,special projects, programs, processes, reports, andpublications.
  • Fosters positive relationships with internal and externalconstituents regarding College programs, activities, policies, andprocedures.
  • Performs other duties as assigned.

Supervision Received

This position receives direction from a College Vice President,Unit Chief, or Campus Vice President.

Supervisory Responsibility

May supervise other staff.

Special Conditions of Employment

Successful completion of a background check including motorvehicles records report will be required. Incumbents in thisposition will adhere to all safety and compliance policies ofColorado Mountain College while performing all duties assigned. May require travel within the college district, altered work scheduleand/or occasional evenings/weekend hours.

Working Conditions

This position requires constant sitting, occasional walking,standing and driving; occasional handling objects, pushing/pulling;frequent reaching with hands/arms, and use of finger movements;occasional lifting, carrying, pushing or pulling objects up to 50lbs. Constant written and oral communication and the ability toreason and analyze and perform calculations occasionally. Work isperformed using a computer and standard office equipment daily anddriving a vehicle occasionall y.
