We’re looking to add an Event Scheduling Coordinator to our Retail and Events team.
The Event Scheduling Coordinator plays a vital role in driving face-to-face marketing opportunities and lead generation for our rapid growth, one-day bathroom remodeling company. Reporting directly to the Director of Retail & Events, this position is responsible for researching, booking, and managing the end-to-end event strategy across our 7 regional markets (averaging 30–50+ total events monthly).
The ideal candidate is a detail-oriented strategist and operator who can balance budget management, vendor logistics, and ROI tracking while supporting the overall growth of our retail and event footprint.
Key Responsibilities
1. Event Research, Booking & Scheduling
- Market Research: Proactively identify, evaluate, and prioritize local event opportunities across all 7 market territories (e.g., home & garden shows, county fairs, community expos, festival pop-ups, retail kiosks).
- Booking & Contracting: Handle all vendor outreach, contract negotiations, fee processing, and administrative paperwork required to secure premium booth locations.
- Master Calendar Management: Maintain and communicate a centralized, up-to-date master event calendar for all active market areas.
- Field Hand-off: Package and transition finalized monthly event schedules to local Field Team Leaders, ensuring they have all necessary information to handle staffing, scheduling, and booth execution.
2. Logistics & Operational Support
- Logistics Coordination: Coordinate pre-event logistics, including electric/utility requests, booth specs, display shipping, vehicle access, passes, and venue guidelines.
- Asset & Inventory Management: Oversee event assets (displays, marketing collateral, banners, technology, branded giveaways) across regions; manage repair, replenishment, and delivery schedules.
- Field Support: Serve as the primary operational contact for local field managers during event setup, run-of-show troubleshooting, and teardown.
- Budget Tracking: Track monthly, quarterly, and annual event budgets per market, ensuring all booth fees, rentals, and incidental costs stay within approved limits.
- Performance Analysis: Monitor key performance indicators (KPIs) for every event, specifically analyzing Cost of Marketing (Event Spend vs. Generated Revenue) to determine profitability.
- Reporting: Compile monthly event scorecards highlighting high-performing venues, marginal performers, and recommended cancellations or expansions for future quarters.
- Assist the Director of Retail & Events with partner communication (e.g., big-box retail partners, home improvement store programs, corporate sponsors).
- Help design and refine standard operating procedures (SOPs) for field event execution and lead collection.
- Participate in weekly strategy meetings to align event calendars with broader sales targets and marketing campaigns.
Qualifications & Skills
- Experience: 2–4 years of experience in event coordination, event marketing logistics, vendor management, or administrative scheduling (experience in direct-to-consumer home improvement or retail marketing is a strong plus).
- Financial Acumen: Comfort managing operational budgets, tracking expenses, and calculating ROI metrics.
- Software Proficiency: Strong proficiency in Microsoft Excel / Google Sheets (budgeting, tracking, and data entry), Google Workspace / MS Office, and CRM or project management tools (e.g., Asana, Monday.com, Salesforce, or similar).
- Communication: Exceptional verbal and written communication skills to negotiate contracts with vendors and collaborate effectively with remote field teams.
- Organization: Outstanding organizational skills with the ability to manage 30+ simultaneous moving targets across multiple geographic regions without dropping details.
Key Performance Indicators (KPIs)
- Marketing Cost Ratio (ROI): Overall event spends relative to generated remodeling revenue per event/market.
- Schedule Finalization Lead Time: Timely hand-off of finalized monthly schedules to local Field Leaders.
- Budget Variance: Keeping market event spend at or below allocated monthly budgets.
- Calendar Fulfillment: Meeting or exceeding monthly event target counts (4–8 events per market team).
