OpenAI is seeking an experienced Events Manager to support planning and execution of high-touch creator, press, and executive-facing events in San Francisco. You will own workstreams from guest experience to on-site execution, collaborate with internal teams, manage budgets, and drive post-event analysis.

Responsabilidades

• Manage and execute high-touch creator, press, and executive-facing events from end to end, including workstreams, registration, guest experience, catering, and on-site execution.
• Develop and maintain comprehensive project timelines with milestones, deliverables, and deadlines.
• Source, negotiate, and coordinate with vendors (caterers, AV, production) ensuring adherence to standards and compliance.
• Oversee attendee registration, check-in processes, and event communications (pre- and post-event).
• Maintain meticulous financial records, monitor budgets, process invoices, and report expenditures vs. budgets.
• Collaborate with internal stakeholders (design, procurement, security) to align event elements with goals and brand guidelines.
• Implement safety and security protocols prioritizing attendee well-being and compliance with health guidelines.
• Collect, analyze, and report event metrics, attendee feedback, and learnings to inform future events.

About the Role

This Events Manager will support the planning and execution of high-touch creator, press, and executive-facing events at OpenAI. Working under the guidance of the Event Management Lead, this person will own critical workstreams across guest experience, front-of-house operations, vendor coordination, production logistics, and post-event reporting.

The ideal candidate is highly detail-oriented, polished under pressure, and experienced in building white glove experiences for high-profile guests, including creators, media, executives, talent teams, and senior external partners. They should bring excellent judgment, a strong hospitality mindset, and a keen eye for the small details that make an event feel seamless, elevated, and deeply considered.

In this role, you will:

• Manage and execute high-touch creator, press, and executive-facing events from end to end, including workstreams, agency management, registration, guest experience, catering, production logistics, and onsite execution.
• Develop and maintain comprehensive project timelines, tracking all milestones, deliverables, and deadlines to ensure seamless event execution.
• Source, negotiate, and coordinate with vendors, including caterers, AV providers, and creative production teams, ensuring adherence to OpenAI’s standards and compliance requirements.
• Oversee attendee registration, check-in processes, and manage event communications, including pre- and post-event outreach.
• Maintain meticulous financial records, closely monitoring budgets, processing invoices, and reporting on expenditures versus budget targets.
• Collaborate closely with and communicate effectively with internal stakeholders—including design, procurement, and security—to align all event elements with strategic goals and brand guidelines.
• Implement and manage safety and security protocols, prioritizing attendee well-being and compliance with health guidelines.
• Collect, analyze, and report event metrics, attendee feedback, and key learnings to inform future events and measure return on investment.

Workplace & Location
