We’re breaking away from outdated models—leveraging cutting-edge technology, digital care platforms, and bold thinking to deliver high-impact healthcare at scale.

Position Summary

The Events Manager leads the stewardship, facilitation, and implementation of all Ways2Well activations and experiences across our DTC and B2B audiences. You will own events end to end, from concept and planning through on-site execution and post-event analysis, ensuring every touchpoint reflects the quality, credibility, and energy of the Ways2Well brand. This is a hands-on, in-the-room role. You won't just plan events from a desk; you'll be on-site leading and managing the live activation, directing vendors and staff, solving problems in real time, and serving as the face of Ways2Well to attendees and partners. The ideal candidate is equal parts strategic planner and calm-under-pressure operator who thrives in fast-paced, high-visibility environments.

Key Responsibilities
  • Develop and own the end-to-end event calendar and strategy across DTC and B2B audiences, aligned to brand, marketing, and growth objectives
  • Serve as the primary steward of the Ways2Well brand and experience at every event, ensuring consistency, quality, and a premium feel across all activations
  • Translate marketing and business goals into compelling live experiences such as consumer activations, wellness experiences, conferences, trade shows, provider and partner events, product launches, and VIP experiences
  • Partner with leadership to identify and prioritize event opportunities that drive brand awareness, lead generation, client acquisition, and partner relationships
Planning & Implementation
  • Manage all logistics for each event: venue sourcing and contracting, permits, layout and design, AV and production, catering, signage, collateral, giveaways, staffing, and travel
  • Build and maintain detailed project plans, run-of-show documents, budgets, and timelines, keeping all stakeholders aligned and on schedule
  • Source, negotiate with, and manage vendors, venues, and third-party partners to deliver quality experiences on time and on budget
  • Coordinate with clinical, marketing, creative, sales, and operations teams to ensure event content, messaging, and offerings are accurate, compliant, and on-brand
  • Be physically present and on-site for events to lead and manage the live activation from load-in through tear-down
  • Direct and coordinate on-site staff, brand ambassadors, vendors, and volunteers, clearly assigning roles and responsibilities
  • Own the attendee and partner experience in real time by anticipating needs, troubleshooting issues, and making decisions on the fly to keep events running seamlessly
  • Serve as the on-site point of contact and brand representative for attendees, partners, vendors, and venue staff
DTC & B2B Experiences
  • Design and execute consumer-facing activations and wellness experiences that bring the Ways2Well brand to life and convert attendees into clients
  • Plan and manage B2B and partner-facing events such as provider events, industry conferences, trade shows, and relationship-building experiences
  • Tailor the tone, format, and content of each experience to its specific audience while maintaining a cohesive brand identity
Budget, Measurement & Optimization
  • Own event budgets, tracking spend against plan and ensuring cost-effective delivery without compromising quality
  • Define success metrics for each event (attendance, leads, conversions, partner engagement, brand impressions) and report on performance
  • Capture learnings and lead post-event debriefs to continuously improve future activations
Required Qualifications
  • High school diploma, or equivalent required
  • 4+ years of experience in event management, experiential marketing, brand activations, or a closely related field, including ownership of events from concept through on-site execution
  • Proven track record managing B2C Events
  • Demonstrated on-site event leadership; you've run the room, directed teams, and handled live problem-solving under pressure
  • Strong project management skills with the ability to juggle multiple events and deadlines simultaneously without dropping details
  • Excellent vendor negotiation, budget management, and logistics coordination experience
  • Exceptionally organized, proactive, and detail oriented
  • Outstanding communication and interpersonal skills; comfortable as the face of the brand with clients, partners, and executives
  • Willingness and ability to work evenings, weekends, and holidays as event schedules require, and to travel for events (30-40%)
Preferred Qualifications
  • Experience in health, wellness, longevity, fitness, medical, or premium/luxury consumer brands
  • Familiarity with event and project management tools, CRM platforms, and lead-capture workflows
  • Proven track record managing both consumer (DTC) and business/partner (B2B) events
  • Experience managing brand ambassadors, staffing agencies, and production teams
  • Experience working with VIP’s and/or influencers
  • A network of vendors, venues, and production relationships in the Austin market and beyond
Work Environment & Physical Requirements
  • Must be able to be on-site for the duration of events, including extended hours during load-in, execution, and tear-down
  • Ability to lift and move event materials and equipment (up to 25 lbs) and to stand or be active for extended periods
  • Flexibility to work non-standard hours (evenings, weekends, holidays) and to travel as needed, sometimes on short notice depending on event scheduling
  • Fast-paced, high-visibility environment requiring composure and quick decision-making while managing vendors, staff, and attendees in real time
  • Must be able to communicate clearly and effectively in person with clients, partners, executives, and event staff throughout live activations, often in loud or high-energy venue settings
