Position Information

The Events Coordinator performs a variety of duties to ensure quality delivery of services and a successful event outcome. This position is involved with planning, implementation, coordination and execution of events associated with all special initiatives as prioritized by Undergraduate Admissions, UC Riverside and UCOP. Under the supervision of the Associate Director and in coordination with the Events Coordinator, the incumbent is responsible for coordinating all necessary aspects of assigned events, which includes setting and keeping budgets for events, logistical planning, publication management and other duties as assigned. This position will ensure all policies and procedures, to include policy interpretation, are followed throughout the coordination of assigned events. The incumbent will also collect, compile, prepare all documentation to include entertainment requests, event agenda, staffing assignment and executive debrief and ensure these requests align with policy and procedures. With the direction from the Associate Director, this position will also be responsible for maintaining departmental publication inventory and fulling all requests and shipments for publications. This position will work with minimal supervision and take initiative to organize and prioritize a heavy and diverse workload to meet stringent deadlines. The Event Coordinator models excellent customer service skills and creates a welcoming environment for UCR administrators, faculty, staff, students and guests. Incumbent is responsible for community outreach and maintaining relationships with internal and external campus partners as related to events management. The salary range for this position is $56,000.00 to $96,400.00. However, the expected pay scale for this position is $56,000.00 - $61,000.00. We base salary offers on a variety of considerations, such as education, licensure and certifications, experience, and other business and organizational needs. Applicants must have current work authorization when accepting a UCR staff position. Currently, we are unable to sponsor or take over sponsorship of an employment Visa for staff. As a University employee, you will be required to comply with all applicable University policies and/or collective bargaining agreements, as may be amended from time to time. Federal, state, or local government directives may impose additional requirements.

  • Working knowledge of concepts, principles and practices of event planning and production and public relations.
  • Working organizational skills, including skill in effectively coordinating and organizing multiple details. Excellent organizational abilities appropriate to effective calendar management and student and/or volunteer scheduling.
  • Good interpersonal communication skills and political acumen, including skill in effectively representing the campus, medical center or other university organization to its publics.
  • Good judgment and effective decision-making and problem resolution skills, including skill to recognize and deal effectively and appropriately with real and potential problem areas, including skill to determine the issues/problems that need to be brought to the attention of higher level staff and/or management.
  • Ability to work in diverse groups, including but not limited to students, staff, faculty, general public, production personnel, technical operators and performing artists.
  • Ability to work professionally under pressure and under tight deadlines; ensuring excellent customer service support.

Preferred Qualifications

  • Working knowledge of the campus, its programs, policies, mission, goals, objectives, achievements and infrastructure.

Assists in planning, organizing, and implementing events and functions, which may include symposiums, conferences, program events, banquets, and VIP briefings. May independently manage small, non-complex events.

Under the supervision of the Events and Communications Manager and in coordination the events team, the incumbent is responsible for coordinating all necessary aspects of assigned events, which includes setting and keeping budgets for events, logistical planning, and other duties as assigned. This position will ensure all policies and procedures, to include policy interpretation, are followed throughout the coordination of assigned events. The incumbent will also collect, compile, prepare all documentation to include entertainment requests, event agenda, staffing assignment and executive debrief and ensure these requests align with policy and procedures. This position will work with minimal supervision and take initiative to organize and prioritize a heavy and diverse workload to meet stringent deadlines. The Event Coordinator models excellent customer service skills and creates a welcoming environment for UCR administrators, faculty, staff, students and guests. Incumbent is responsible for building and maintaining relationships with internal and external campus partners as related to events management. Undergraduate Admissions currently works in a hybrid schedule (2 days on-campus/3 days remote) with exceptions based on department needs.
