Job summary

TradeWinds Island Resorts is seeking a Catering and Conference Services Administrative Assistant to support the Director of Convention Services and Catering Sales Managers. You will assist with blocking function space, preparing and distributing documents, and coordinating event-related tasks.

Join a dynamic team at a beachfront resort in St. Pete Beach, handling proposals, lead generation, and daily office duties with a focus on exceptional guest service and seamless events.

Qualifications

• Experience in hotel or resort operations, banquet, or conference services preferred.
• High School Diploma required; Bachelor's degree preferred.
• Ability to communicate clearly with internal and external customers; patient and diplomatic.

Responsibilities

• Serve as liaison between managers and clients when needed.
• Prepare daily, weekly, and monthly reports.
• Block function space for group sales and in-house requests.
• Assist Catering Sales Managers with proposals and documentation.
• Prepare contracts and paperwork for turnover processes.
• Coordinate logistics for trade shows, site inspections, and pre-planning meetings.
• Maintain filing systems and expense reports; manage deposits and final payments.
• Use MS Office and Opera PMS to update bookings and events.
