Job summary

Green Tree Country Club in Midland, Texas is seeking an experienced Event Manager to coordinate all aspects of club and private events from planning through execution. You will be the primary liaison among members, guests, and club departments, delivering high-level hospitality and memorable experiences.

The ideal candidate thrives in a fast-paced environment with exceptional attention to detail and a passion for guest satisfaction. Evening, weekend, and holiday availability is expected.

Qualifications

  • Minimum 3 years of event management or hospitality experience.
  • Strong organizational and communication skills.
  • Ability to multitask and manage multiple events simultaneously.
  • Experience creating and managing Banquet Event Orders (BEOs).
  • Proficiency in Microsoft Office Suite.
  • Availability to work evenings, weekends, and holidays as business demands require.

Responsibilities

  • Plan weddings, banquets, golf tournaments, corporate meetings, holiday events, and social functions.
  • Prepare contracts, event proposals, floor plans, and Banquet Event Orders (BEOs).
  • Assist in generating event revenue through exceptional service and relationship building.
  • Coordinate event details with Culinary, Food & Beverage, Golf Operations, Facilities, and Administration teams.
  • Oversee event setup, execution, and breakdown.
  • Lead weekly BEO meetings and communicate all event details to department heads.
  • Maintain accurate event files, contracts, deposits, billing information, and correspondence.

We are seeking an experienced, energetic, and highly organized Event Manager to join our hospitality team and play a key role in planning and executing a wide variety of member and private events.

Position Overview

The Event Manager is responsible for coordinating all aspects of club and private events, from initial planning through final execution. This role serves as the primary liaison between members, guests, and club departments to ensure events are organized, communicated effectively, and delivered at the highest level of hospitality.

Essential Duties & Responsibilities
Event Planning & Sales
  • Meet with members and clients to plan weddings, banquets, golf tournaments, corporate meetings, holiday events, and social functions.
  • Prepare contracts, event proposals, floor plans, and Banquet Event Orders (BEOs).
  • Assist in generating event revenue through exceptional service and relationship building.
  • Conduct club tours and assist prospective members and clients with event inquiries.
Event Execution
  • Coordinate event details with Culinary, Food & Beverage, Golf Operations, Facilities, and Administration teams.
  • Ensure all BEOs are finalized and distributed no later than 72 hours prior to scheduled events.
  • Lead weekly BEO meetings and communicate all event details to department heads.
  • Oversee event setup, execution, and breakdown.
  • Be present during major events to ensure quality standards are met and member expectations are exceeded.
Administrative Responsibilities
  • Maintain accurate event files, contracts, deposits, billing information, and correspondence.
  • Monitor event timelines and deadlines.
  • Process post-event billing and follow-up communications.
  • Prepare reports and assist with annual event planning initiatives.
Member & Guest Relations
  • Develop strong relationships with members and guests.
  • Respond promptly and professionally to requests and concerns.
  • Deliver personalized service that creates memorable experiences and promotes member satisfaction.
  • Maintain the club's high standards of hospitality and professionalism.
Qualifications
Required
  • Minimum 3 years of event management, catering, banquet, hotel, resort, club, or hospitality experience.
  • Strong organizational and communication skills.
  • Ability to multitask and manage multiple events simultaneously.
  • Experience creating and managing Banquet Event Orders (BEOs).
  • Proficiency in Microsoft Office Suite.
  • Availability to work evenings, weekends, and holidays as business demands require.
Preferred
  • Private club experience.
  • Experience with club management software such as Jonas, Northstar, or ClubEssential.
  • Bachelor’s degree in Hospitality Management, Business, Communications, or related field.
  • CMAA membership or involvement.
  • Certified Meeting Professional (CMP) designation.
