Job summary

Orion Placement is seeking a paralegal for our established Annapolis, Maryland estate planning practice. You will draft, revise, and finalize wills, revocable trusts, powers of attorney, and related documents under attorney supervision, with a focus on planning workflows.

This hybrid role provides on-site training, then up to two remote days per week. Candidates with 2+ years of estate planning paralegal experience and strong Word/PDF skills will thrive in a client-service oriented environment

Qualifications

  • Paralegal certificate or equivalent professional experience required.
  • 2+ years estate planning paralegal experience focused on document preparation and planning workflows.
  • Strong proficiency in MS Word and PDF tools.
  • Excellent proofreading and organizational skills.
  • Professional, client-service oriented communication with discretion.

Responsibilities

  • Draft, revise, proofread, and finalize estate planning documents under attorney supervision.
  • Collect, organize, and summarize family, fiduciary, and asset information.
  • Prepare planning summaries, asset schedules, and title information matrices.
  • Coordinate client meetings, witnesses, and notaries for estate plan signing ceremonies.
  • Track execution status and maintain original documents and closing sets.
  • Draft professional client correspondence and follow-up communications.
  • Liaise with clients and third-party professionals to move matters forward.
  • Maintain calendars, task lists, and internal checklists for planning matters.
  • Coordinate deed recording and related real property titling tasks.
  • Record billable time daily and uphold confidentiality.

Job Description
  • Draft, revise, proofread, and finalize estate planning documents including wills, revocable trusts, powers of attorney, advance health care directives, and related instruments under attorney supervision
  • Collect, organize, and summarize family, fiduciary, and asset information to support planning decisions
  • Prepare planning summaries, asset schedules, and beneficiary and titling information matrices for attorney review
  • Coordinate client meetings, including scheduling witnesses and notaries for estate plan signing ceremonies
  • Track execution status, organize original documents and electronic closing sets, and maintain the firm's document management system with precision
  • Draft professional client correspondence and follow-up communications related to planning deliverables
  • Liaise with clients and third-party professionals to gather information needed to move matters forward
  • Maintain calendars, task lists, and internal checklists to keep all planning matters on track and on time
  • Coordinate deed recording and related real property titling tasks
  • Record billable time daily and represent the firm with professionalism, integrity, and discretion at all times
Qualifications
  • Paralegal certificate and/or equivalent professional experience
  • 2+ years of estate planning paralegal experience with a focus on document preparation and planning workflows (required)
  • Strong proficiency in Microsoft Word, including formatting, styles, and redlining, as well as PDF tools
  • Excellent proofreading skills, exceptional attention to detail, and strong organizational instincts
  • Professional, client-service-oriented communication style with the ability to handle sensitive information with absolute discretion
  • Ability to manage multiple active matters and competing deadlines in a fast-paced environment
  • Experience with estate planning drafting or document automation software (WealthCounsel a plus) and practice management platforms (Clio a plus)
  • Notary commission or willingness to obtain one preferred
  • Experience coordinating signing ceremonies and execution formalities a plus
