Position Overview

A private ownership group is seeking an experienced, hands-on Estate Manager to oversee the maintenance, operations, safety, and overall functionality of multiple private residences, a residential apartment building, and a fleet of cars, motorcycles, and recreational vehicles. This multifaceted role requires strong technical and mechanical skills, extensive renovation and project management experience, and the ability to manage multiple properties, vendors, and priorities. The ideal candidate is proactive, resourceful, highly organized, and comfortable balancing hands-on maintenance with contractor oversight and administrative responsibilities. Discretion, reliability, sound judgment, and professionalism are essential.

Key Responsibilities

Conduct regular property inspections to identify maintenance needs, safety concerns, and potential issues before they escape.

Oversee repairs and preventive maintenance for HVAC, plumbing, electrical, roofing, generators, pools, spas, irrigation, landscaping, and other residential systems.

Coordinate recurring services, including landscaping, pool maintenance, pest control, and other vendors.

Manage smart home technology, security cameras, alarms, gates, lighting, and access systems.

Prepare residences for ownership arrivals and departures, seasonal changes, and weather-related risks, including wildfire mitigation, storm preparation, and extreme-heat precautions.

Vehicle Fleet Management

Maintain and oversee the servicing of cars, motorcycles, and recreational vehicles, including routine maintenance, seasonal preparation, repairs, and specialized services.

Track registrations, insurance, emissions requirements, recalls, and detailed maintenance records.

Coordinate vehicle transportation, detailing, and storage between properties.

Safely operate and drive vehicles as needed, including motorcycles and recreational vehicles.

Apartment Building Management

Inspect the residential apartment building and oversee maintenance, repairs, and building systems.

Respond to tenant maintenance requests and coordinate move-in/move-out inspections, unit turnovers, cleaning, painting, and repairs.

Ensure units remain rent-ready and help maintain compliance with applicable housing codes and safety regulations.

Source, evaluate, negotiate with, and oversee contractors and service providers across all properties and vehicles.

Manage renovation, remodeling, and capital improvement projects, coordinating with architects, designers, general contractors, and specialty trades.

Oversee project scope, budgets, timelines, permits, workmanship, and compliance with applicable building codes.

Perform minor repairs and construction tasks when appropriate, including painting, patching, basic framing, and fixture installation.

Verify completed work meets agreed-upon scopes before approving invoices and maintain a reliable network of qualified vendors.

Safety, Administration & Staff Coordination

Monitor property safety, security, fire prevention, and emergency systems; maintain inspection records and coordinate necessary repairs.

Respond to after-hours emergencies, including water leaks, power outages, security incidents, and vehicle breakdowns, and assist with insurance claims as needed.

Track maintenance expenses, vendor invoices, fleet servicing costs, and capital project budgets.

Maintain organized maintenance logs, inspection reports, service records, and project documentation, providing regular updates to ownership.

Coordinate and supervise on-site maintenance staff, groundskeepers, and other household personnel as applicable.

Required Qualifications

Minimum of five years of experience in estate management, facilities management, property management, or building maintenance. Previous experience supporting a private family, family office, or multi-property ownership group.

Strong hands-on knowledge of residential building systems, including HVAC, plumbing, electrical, and general construction.

Minimum of three years of experience managing renovation or construction projects, including working directly with contractors and architects.

Experience maintaining and servicing vehicles, with automotive experience required.

Proven ability to manage vendors, contractors, budgets, and multiple projects simultaneously.

Valid driver's license and clean driving record, with the ability to travel regularly between properties.

Comfortable operating cars, motorcycles, and recreational vehicles as required; manual transmission experience is a plus.
