Job summary

OhioHealth is seeking a Systems Analyst Epic to design, build, test, train, deploy, and support Epic applications to optimize clinical and operational workflows.

You will work with stakeholders to translate business requirements into reliable Epic configuration, integrations, and reporting while ensuring compliance and SLAs.

Qualifications

  • Bachelor's Degree required; healthcare IT preferred.
  • Minimum 1-3 years in system/application analysis or related IT (healthcare preferred).
  • In lieu of degree, 5+ years of system/application analysis experience (healthcare preferred).
  • Experience with Epic applications and healthcare workflows is required.
  • ITIL, change control, SDLC, and project methodologies knowledge.

Responsibilities

  • Engage stakeholders to gather requirements and design Epic build.
  • Create specifications and design documents for traceability.
  • Perform gap analyses for upgrades, regulatory changes, or new initiatives.
  • Support small projects and follow established project methodology.
  • Develop and execute unit/integration/UAT tests and document results.
  • Coordinate releases, environment moves, and downtime for upgrades.
  • Provide go-live support and post-live hypercare.
  • Manage incidents and service requests to meet SLAs.
  • Collaborate with IT and operations to optimize cross-application workflows.
  • Assist with interface testing and data reporting needs.
  • Support training and curriculum updates for Epic training environments.

Job Description Summary:

The Systems Analyst Epic supports the design, build, testing, training, deployment, and ongoing support of Epic applications to optimize clinical and operational workflows. This position develops knowledge of healthcare workflows, system integration, and project delivery practices while partnering with operational leaders and end users to translate business requirements into reliable Epic configuration, integrations, and reporting—supporting safe patient care, efficient revenue cycle operations, and regulatory compliance while meeting Service Level Agreements (SLAs) for supported applications. Works under guidance of senior analysts, architects, and technical leads to follow standards that safeguard the integrity and security of the application environment and contribute to continuous improvement activities related to application management for Epic and related third-party applications. The System Analyst Epic encompasses two closely related role focus areas: Application Build and Application Training. While responsibilities are similar, emphasis may vary based on team assignments.

Responsibilities And Duties:
Both Roles
System Analysis and Design:

Engage stakeholders to gather and refine requirements, map current-state workflows, and design Epic build that aligns with operational goals and policy.

Create and maintain specifications, decision logs, and design documents for clear traceability and change control.

Conduct gap analyses to identify configuration or workflow changes needed for upgrades, regulatory changes, or new initiatives.

Project Management:

Support small projects and enhancements related to system implementations and upgrades under the guidance of senior team members.

Working knowledge of common project approaches (e.g., waterfall, agile) and ability to follow the established methodology.

Participate on project teams and apply agreed project methodology to deliver assigned tasks on time.

Training and Documentation:

Create and maintain documentation for system configurations, workflows, and support procedures, following team standards.

Application Build Role
Application Build, Configuration, and Deployment:

Configure records, master files, and tools (e.g., profiles, rules, security classes, workflows) aligned to approved design.

Maintain environment parity and adhere to change management and build naming conventions.

Develop and execute unit, integrated, and UAT test plans; log and resolve defects; document test evidence.

Validate interfaces, printing, reporting, and downstream workflows; confirm regression coverage in upgrades.

Coordinate release management, environment moves, and downtime procedures for upgrades and patches.

Provide go-live and post-live hypercare, including rounding, office hours, tip sheets, and at-the-elbow support.

Manage service requests and incidents in a timely manner; meet SLAs through effective triage, documentation, and root-cause analysis with guidance as needed.

Provide support for Epic and other enterprise applications as assigned. Collaborate with IT and operational teams to understand cross-application impacts and support integrated workflows (e.g., Epic and third-party applications).

Integration and Data Management:

Collaborate with interface teams on HL7, FHIR, PDFs, CCD/CCDA, and other exchange workflows.

Partner with analytics teams on Clarity/Caboodle extracts, registries, and operational reporting needs.

Ensure data integrity and metric definitions are consistent across modules and stakeholders.

Compliance & Risk:

Support regulatory readiness (e.g., CMS, Joint Commission), audit needs, and policy alignment.

Embed privacy/security controls, including sensitive record handling and audit trails.

Contribute to ITIL-aligned incident, problem, change, and configuration management processes.

Application Training Role
Curriculum Management:

Support the design and delivery of role-based training aligned with operational workflows and organizational standards

Support maintenance and updates to the CareConnect curriculum in partnership with training leadership

Help ensure curriculum accuracy and consistency by following established build and validation processes

Incorporate learner and stakeholder feedback into curriculum updates and continuous improvement efforts

Support build, maintenance, and readiness activities for training environments under established standards

Communicate system releases and upgrade impacts to training stakeholders using approved channels and templates

Request/Incident Management

Manage end‑user training‑related requests and incidents with professionalism and efficiency

Support triage and resolution of requests within established service expectations, escalating as appropriate

Document incidents and resolutions to support a comprehensive knowledge base

Collaborate with IT and operational partners to identify trends and recommend preventative improvements

Contribute to support process improvements to enhance service quality and user experience

Minimum Qualifications:

Additional Job Description:
  • degree in computer science, Information Technology, Healthcare Administration, or a related field.
  • Minimum of 1-3 years of experience in system/application analysis, support, or related IT experience (healthcare environment preferred).
  • In lieu of degree, 5+ years of experience in system/application analysis, support, or related IT experience (healthcare environment preferred).
SPECIALIZED KNOWLEDGE
Required for Both Roles:
  • Experience with Epic application(s) and healthcare workflows (clinical, revenue cycle or IT experience).
  • Strong requirements gathering, workflow design, and testing skills.
  • Familiarity with ITIL, change control, SDLC practices, system governance, and waterfall/agile project methodologies.
  • Ability to communicate with clinical, operational stakeholders, and managed service providers and produce clear documentation.
  • Demonstrated ability to support small to medium initiatives and collaborate effectively with cross-functional teams.
Requirements for Application Training role:
  • Epic Training Environment Build certification/proficiency (or ability to obtain within required timeframe) and 1+ year of training environment build or application support experience.
  • Epic Principal Trainer certification(s) preferred (or ability to obtain within the required timeframe).
Preferred for Application Build role:
  • Current Epic Certification or Proficiency in one or more relevant module(s) (e.g., HB, PB, Cadence, Referrals, Orders, ClinDoc, Clarity).
  • 1+ year of Epic build/configuration experience preferred (or demonstrated ability to learn and apply build standards quickly).
  • Exposure to system integration concepts (e.g., HL7, FHIR) and interface testing is preferred.
  • Exposure to reporting and data concepts (e.g., Clarity/Caboodle, SlicerDicer, Reporting Workbench, Radar) is preferred.
  • Prior work in patient access, billing, coding, finance, or clinical operations (for respective modules).
DESIRED ATTRIBUTES
  • ITIL Foundation certification desired not required.
  • Certifications in one or more Epic applications
  • Experience in a large healthcare system or hospital setting.
  • Experience with other healthcare applications and systems.
  • Knowledge of healthcare regulations and compliance standards.
  • Familiarity with cloud computing platforms (e.g., AWS, Azure).
  • Experience with business intelligence and analytics tools
