Working alongside Project Managers, the Project Coordinator handles the documentation, tracking, and administrative backbone that keeps projects moving on schedule and on budget.

What You'll Do
Project Documentation & Administration
  • Maintain project files, drawings, specifications, and records in the company document management system, ensuring current revisions are distributed to the project team.
  • Prepare, log, and track submittals, RFIs, transmittals, and correspondence between the owner, engineer, subcontractors, and vendors.
  • Assemble and distribute meeting agendas, take accurate meeting minutes, and track action items to closure.
  • Support the development and maintenance of project closeout documentation, including as-builts, O&M manuals, warranties, and lien releases.
Procurement & Subcontract Support
  • Maintain material and equipment tracking logs, including long-lead procurement items such as transformers, breakers, conductor, inverters, and modules.
Proposal, RFP & Estimating Support
  • Support the pursuit team in responding to new customer RFPs, RFQs, and prequalification packages - including compiling company qualifications, project references, safety statistics, resumes, and required forms.
  • Maintain the proposal calendar and track RFP milestones such as questions-due dates, site walk requirements, addenda, and bid submission deadlines to ensure no deliverable is missed.
  • Download, organize, and distribute bid documents, drawings, specifications, and addenda to estimators, engineering, procurement, and operations stakeholders.
  • Coordinate and document internal bid review and risk review meetings, capturing decisions on assumptions, escalation, contingency, and scope exclusions.
  • Maintain the pursuit log and proposal archive, and support handoff of awarded work from estimating to the project execution team.
What You'll Bring
  • A bachelor's or associate degree in Construction Management, Civil or Electrical Engineering, Business, Supply Chain, or a related field is strongly preferred.
  • Candidates without a degree will be considered where relevant electrical construction, utility, or renewable energy experience demonstrates equivalent capability.
  • 0-2 years of experience in construction, engineering, utilities, energy, or a related project-based environment.
  • Internship, co-op, or field experience in electric power, renewable energy, or heavy civil construction is a plus.
  • Prior military service with logistics, planning, or electrical experience is valued.
  • Proficiency in Microsoft Office, with strong Excel skills (formulas, pivot tables, data organization) and comfort learning new software platforms.
  • Familiarity with construction management or ERP systems (e.g., Procore, Primavera P6, Bluebeam) is a plus; training will be provided.
  • Strong written and verbal communication skills, with the ability to interact professionally with owners, vendors, engineers, and craft personnel.
  • Exceptional organization and attention to detail; able to manage multiple priorities and deadlines simultaneously.
  • Ability to read and interpret construction drawings, one-lines, and specifications, or a demonstrated aptitude and willingness to learn.
  • Self-motivated, coachable, and eager to take on increasing responsibility.
