We are currently seeking an Endodontic Patient Coordinator to infuse new energy into our Front Desk team. With two locations—one in the Gateway Plaza shopping center in Patchogue and the other in the Great South Bay shopping center in West Babylon, NY—both environments are welcoming and designed to promote collaboration and foster creativity. The intention of this role is to create everyday service success while offering opportunities for growth and advancement.

- Knowledge of Dentrix Ascend (or other dental software) would be helpful but not mandatory; a willingness to learn our software is required.
Example of a Day as an Endodontic Patient Coordinator
- Review with patients the estimated fees for treatment after the dentist/endodontist has diagnosed and reviewed their options.
- Help patients better understand their dental insurance benefits with assistance from our billing department.
- Work with outside patient care financing companies to give patients a wide range of financial options.
- Submit and track insurance pre‑authorizations.
- Help collect payments and ensure financial policies are honored.
- Manage emails and online inquiries throughout the day.
- Professionally support and reassure anxious patients during the checkout process.
- Answer overflow calls routed from the Call Center when not assisting a patient.
- Schedule follow‑up appointments at checkout, ensuring enough time is reserved for each patient’s treatment.
- Participate in, organize, and run direct team huddles for your provider and the assistants; share huddle sheets daily with our administrative team. Be open to collaboration and feedback.
- Train and support new team members when ready, contributing where you can add value.
- Follow up with patients who have not scheduled treatment; ensure doctors conduct any patient calls after services are rendered.
- Encourage satisfied patients to leave reviews or refer others, sharing our referral program with patients.
- Work collaboratively with the entire practice to meet or exceed monthly goals.
- Generate and review reports when directed.
- Monitor treatment plans and case acceptance, when directed, to further support your doctor and meet hourly production goals.
- Become knowledgeable and be able to assist patients in joining our Dental Savings Program.
Qualifications
- 5 or more years of experience in a dental front desk position.
- Flexibility in scheduling; our office is open 6 days a week, including early morning, late evenings, and some holidays. Most patient coordinators work every other Saturday.
- Experience providing exceptional hospitality‑inspired customer service in a fast‑paced practice.
- Excellent attention to detail and high follow‑through.
- Ability to calculate percentages accurately and quickly using basic math skills.
- Positive, friendly, and enthusiastic attitude. Collaborative and comfortable in communication.
- Outstanding teamwork skills and the ability to work with a diverse group of people.
- Bilingual in English and Spanish is welcomed.
Education
- High school or equivalent (required)
- College degree optional
Babylon Dental Care Perks
- Competitive Compensation: Earn $25 to $28 per hour, reflective of your skills and dedication.
- Comprehensive Benefits: Enjoy paid holidays, personal time off, sick time (as per NYS law), health insurance options available, a $2,500 dental credit for your own dental needs within the practice, and a 401(k) with employer match. Monthly team bonus opportunities are extended. Most benefits start after your probationary period of 90 days. You start accruing sick time from day one, as per NYS, and the practice extends PTO within the first year.
