Job summary

Gensler is seeking a high-caliber hospitality and office management professional in San Francisco to shape every touchpoint of our client, guest, and workplace experience.

You will oversee client and VIP events, front-of-house operations, and workplace hospitality, partnering with Office Managing Directors and Marketing for aligned, engaging programs.

Your Role

Overall Focus: Events, culture, community, and hospitality

We are seeking an exceptional hospitality professional to shape every touchpoint of the client, guest, and workplace experience. This highly visible role brings the instincts, warmth, and standards of high-end hospitality to a creative, fast-paced environment.

The person in this role will oversee client and VIP events and visits, front-of-house experience, special events, workplace hospitality, and key cultural moments for our employees and internal community.

This role will work closely with Office Managing Directors to ensure all efforts are aligned with the office vision and strategic goals. The role will also engage with leadership from our Marketing and Communications teams to support community engagement and external events, with light support for PR. The ideal candidate combines warmth with executive presence and exceptional attention to detail, anticipates needs, reads a room, and understands how small touches can make a meaningful impact.

What You Will Do
Hospitality & Guest Experience
  • Focus on hospitality
  • Oversee the client and guest experience
  • Collaborate with internal teams to ensure high-quality meeting and event experiences
  • Coordinate external events hosted in the office by clients and industry partners
Events & Programming
  • Lead culture moments for the office that excite and engage our people
  • Plan and produce large-scale internal events such as Bonus Day, Appointments Day, Thanksgiving, and Holiday Parties, as well as large-scale external events for clients and industry partners including ULI Red Party, DFL, Office Opening Party, Inclusion Events (Strive45), and Climate Week.
  • Large-scale events require partnership and support from others across the office and, at times, the region
  • Support and coordinate our global studio and firmwide programs that take place in the office, including Management & Board, Senior Associates Retreat, NextGen, and other initiatives, including organizing watch parties for firmwide programs
  • Design and execute programming that fosters creativity, connection, and inspiration
Community & Culture
  • Own workplace-related internal communications, including event messaging, reminders, workplace updates, and announcements
  • Co-lead Community Engagement and Impact for the office (not required, but highly aligned with the broader role)
  • Support affinity groups and office and regional communities
  • Oversee the management of employee perk programs, such as lunch subscriptions, museum memberships, and wellness offerings
  • Support new hire onboarding with HR to ensure employees feel engaged from day one
Workplace Experience
  • Partner with the Facilities Manager to develop and implement office protocols and processes, including guest experience, catering programs, meeting request processes, workplace behaviors, and change management
  • Partner with the Facilities Manager to ensure cleanliness and organization
  • Oversee the office calendar, including coordination of external organizations utilizing the space
Your Qualifications
  • Minimum of 5 years of professional experience in hospitality or office management role(s)
  • Excellent judgment, problem-solving, communication and interpersonal skills including an ability to work with individuals at all levels of management and maintain confidentiality
  • Must be self-motivated, resourceful, reliable, flexible, and willing to work overtime as needed
  • Proven ability to prepare and manage budgets
  • Highly organized and an ability to prioritize and accomplish multiple tasks
  • Highly proficient in Microsoft Office Suite, including Teams, Zoom, etc.
  • Comfortable with technology and new software
  • Experience in a professional services firm; architecture, hospitality preferred
  • Ability to work and thrive in a fast-pased, creative environment
  • Demonstrated prior experience and passion for implementing sustainability and wellness-focused office initiatives including but not limited to supplies, vendors, catering, events, etc.
  • Strong client-facing presence with a commitment to delivering exceptional hospitality, professionalism, and service for guests, clients, vendors, and internal stakeholders
  • The right candidate will bring best practices and implement new processes as needed for improvement in all areas

*The base salary will be estimated between $100,000 - $115,000 plus bonuses and benefits and contingent on relevant experience
