Job description

Responsible for coordinating and managing medical education programs by fostering relationships with healthcare providers, such as physicians, nurses, and other clinical professionals, to facilitate their professional development and ensure the organization offers high-quality educational opportunities.

The BWH Undergraduate Medical Education (UME) Coordinator will provide day to day administrative duties for the Practice of Medicine (POM) course, Bridges I & II, and several aspect of The Principal Clinical Experience (PCE) in conjunction with the UME Manager The UME Coordinator will report to the UME Manager and will have overall responsibility for the maintenance of the POM, Bridges I, and Bridges II longitudinal courses for Harvard Medical School (HMS) students while rotating through Brigham and Women's Hospital (BWH) during their 1st and 2nd year of Medical School. Separately, and together with the UME Manager, the UME coordinator will perform day to day activities to keep the Principle Clinical Experience operational and functional throughout the year. Primary responsibilities include the coordination and administration of the PCE course for BWH as well as, POM, tDP I & II, and Bridges I & II.

Principle Clinical Experience:

  • Coordinate orientation with PCE leadership; book rooms, order food, confirm speakers
  • Coordinate tutorial sessions - book rooms, schedule and confirm speakers, help with set up, distribute and collect surveys
  • Communicate with departmental clerkship coordinators to provide relevant student information and ensure PCE program success and facilitates smooth integration of the PCE with other clerkships in the following departments: surgery, OB, medicine, pediatrics, psychiatry, radiology, neurology.
  • Together with the UME Manager, serve as a liaison between Brigham and Women's Hospital (BWH) and Harvard Medical School with other Harvard hospitals to ensure HMS PCE programs are compatible.
  • Special projects - orders fleeces, plans and books the holiday dinner and PCE end of year luncheon, etc
  • Sends reminders for monthly faculty meetings; books rooms and orders food
  • Update and maintain Canvas
  • Coordinate quarterly PCE advisor meetings between faculty & students

POM:

  • Assist in coordinating and facilitating scheduled teaching sessions for the Associate POM Directors with tDPI, FCC, ICS and PDR sessions as needed
  • Coordinate with POM Site Director to plan schedule of lunch meetings for the year - books rooms and orders lunches for entire year; sends reminders prior to each meeting
  • Send reminder emails for quarterly faculty meetings
  • Facilitate MFA session for all 4 groups
  • With POM leadership, assign student clinic groups and schedules for the academic year.
  • Plan site specific teaching sessions, including round robins; book rooms; order food; schedule and confirm faculty
  • Help as needed with student tutor sessions
  • Create bedside patient assignments for H & P (PDR) teaching sessions
  • Recruit faculty for POM teaching sessions
  • Complete and submit quarterly budget submissions to PME Finance in collaboration with POM Leadership

Bridges I & II

  • Assisting site director(s) with faculty recruitment, simulation sessions logistics, and site-based clinical immersions
  • Serving as the on-site contact person for student or faculty needs
  • Tracking site-based teaching hours forMDs
  • Attendance at BRIDGES scheduling meetings
  • Tracking students' completion of required course assignments and absences
  • Providing administrative support for site director(s) for student meetings including, communicating with students about appointments, gathering relevant data for review at meetings, etc.
  • Liaising with appropriate site administrator(s) and PME Finance about funding/disbursement of payments for teaching
  • Other administrative tasks or projects as assigned relevant to the BRIDGES I / II courses

Support for Special Projects or Other Educational Office Activities

  • Provide administrative and calendar support to the PCE Director, POM Directors, and Associate Dean for Medical Education.

Education
Bachelor's Degree Healthcare Management required

Experience
Medical Education Program Management 1-2 years required

Knowledge, Skills and Abilities
- Strong knowledge of the healthcare industry, including an understanding of medical terminology, healthcare regulations, and the dynamics of healthcare provider organizations.
- Excellent interpersonal and relationship-building skills are essential for building and maintaining strong connections with healthcare providers.
- Strong logistical and project management skills are important for coordinating multiple aspects of events, including venue selection, scheduling, and resource management.
- Exceptional verbal and written communication skills are necessary for effectively conveying information, delivering presentations, and facilitating discussions with healthcare providers, internal stakeholders, and external partners.
- Proficiency in collecting, analyzing, and interpreting data related to program evaluation and outcomes.
