The Education Operations & Training Coordinator is responsible for coordinating and administering customer education activities across multiple Learning Management Systems (LMS) and supporting platforms. This role manages the operational processes associated with classroom training, virtual education, symposiums, fellowships, and other educational programs from registration through completion.

The position serves as a key liaison between customers, internal education teams, finance, travel partners, and external vendors to ensure training activities are accurately scheduled, funded, communicated, and documented. The role requires strong attention to detail, financial accountability, customer service, and the ability to manage multiple education programs and systems simultaneously.

Learning Management System & Course Administration
  • Work within multiple Learning Management Systems (LMS) and related platforms to manage customer and participant registrations for educational programs.
  • Coordinate registration and enrollment for instructor‑led classroom training, virtual training, symposiums, fellowships, and other educational offerings.
  • Create, enter, schedule, and maintain courses, change to events, and educational offerings within applicable LMS platforms.
  • Ensure course information, dates, locations, capacity, instructor information, and other required details are accurate and current.
  • Monitor registrations and enrollment status and resolve discrepancies or registration issues.
  • Maintain accurate participant and course records to support operational, reporting, and compliance requirements.
  • Coordinate course changes, cancellations, withdrawals, and participant transfers as necessary.
  • Verify the availability and eligibility of customer educational funds prior to processing training registrations.
  • Ensure educational funds are appropriately allocated and applied to the correct customer, system, contract, or educational activity.
  • Maintain accurate financial documentation associated with educational registrations and programs.
  • Coordinate required notifications related to the use, transfer, expiration, or availability of educational funds.
  • Work with internal finance and education stakeholders to research and resolve funding discrepancies.
  • Support reconciliation and tracking of education‑related expenses and financial transactions.
  • Ensure established financial processes, policies, and approval requirements are followed.
Customer Travel Coordination
  • Facilitate customer travel arrangements associated with approved educational programs, including airfare, lodging, ground transportation, and other authorized travel needs.
  • Work with customers and designated travel partners to ensure travel arrangements are completed accurately and within established guidelines.
  • Verify travel eligibility and applicable funding prior to booking.
  • Monitor and manage travel changes, cancellations, and other issues that may affect a participant's training.
  • Review and validate travel‑related expenses and supporting documentation.
  • Ensure travel expenses are properly documented, reconciled, and submitted for processing.
  • Assist customers with questions or issues related to education travel.
  • Coordinate with external vendors supporting educational programs, events, symposiums, fellowships, travel, and other training activities.
  • Manage vendor registration processes, participant information, invoicing, payments, and required documentation.
  • Verify vendor charges and ensure invoices align with approved services and educational activities.
  • Facilitate timely processing of vendor payments and resolve discrepancies as needed.
  • Maintain effective communication with vendors to ensure deadlines, registration requirements, and program expectations are met.
Customer & Internal Stakeholder Support
  • Serve as an operational point of contact for customers, education teams, instructors, vendors, and other internal stakeholders.
  • Communicate registration confirmations, course details, travel information, changes, cancellations, and other required notifications.
  • Research and resolve customer registration, funding, travel, and course‑related issues.
  • Partner with internal teams to ensure a consistent and positive customer education experience.
  • Proactively identify issues that could affect training participation and coordinate appropriate resolution.
Operational Excellence & Compliance
  • Ensure education‑related transactions and activities are processed according to established policies, procedures, and financial controls.
  • Maintain accurate and complete documentation to support auditing, reporting, and compliance requirements.
  • Identify opportunities to improve registration, travel, financial, vendor, and LMS processes.
  • Support reporting and data validation related to registrations, course utilization, educational funds, travel expenditures, and other operational metrics.
  • Manage multiple priorities and deadlines while maintaining a high level of accuracy and customer service.
Qualifications
  • Associate's or Bachelor's degree in Business Administration, Education, Operations, Finance, Healthcare Administration, or a related field preferred; equivalent relevant experience may be considered.
  • Experience working with Learning Management Systems, training administration, education operations, event coordination, or similar platforms.
  • Experience with customer registration, travel coordination, financial processing, expense management, or vendor management preferred.
  • Strong organizational skills with demonstrated ability to manage multiple activities and deadlines simultaneously.
  • Excellent attention to detail and commitment to data accuracy.
  • Strong written and verbal communication skills.
  • Ability to work effectively with customers, internal teams, external vendors, and cross‑functional stakeholders.
  • Ability to research discrepancies, identify solutions, and independently manage routine operational issues.

The base pay range for this position is:

$85,350 - $117,359

Factors which may affect starting pay within this range may include geography/market, skills, education, experience, and other qualifications of the successful candidate.

If this is a commission eligible position the commission eligibility will be in accordance with the terms of the Company's plan. Commissions are based on individual performance and/or company performance.
