Job summary

Troutman Pepper Locke LLP is seeking an eBilling Specialist in San Diego to support electronically billed clients and work with the eBilling team on submissions across vendor sites. You will oversee the full eBilling process for a defined client portfolio, ensuring accuracy and compliance with firm guidelines.

You will troubleshoot rejected invoices and address related issues to ensure timely client invoicing.

Qualifications

  • Bachelor’s degree or equivalent combination of education and experience.
  • At least two years of eBilling experience.
  • Proficiency in Microsoft Excel and strong written/verbal communication.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Excellent customer service and interpersonal skills.

Responsibilities

  • Submit eBilled client invoices and escalate unresolved issues to the eBilling Manager.
  • Identify, research, and troubleshoot rejected invoices for resolution.
  • Collaborate with the eBilling Manager and billing specialists to resolve issues.
  • Work with Accounts Receivable to address client-reported eBilling issues and follow up.
  • Submit requests through vendor sites for accruals, appeals, budgets, and reports.
  • Communicate eBilling status to internal teams and impacted attorneys when needed.
  • Monitor deduction notices and coordinate responses for timely filing of appeals.
  • Report eBilling status for clients and deliver requested management reports.
  • Represent the department professionally in all interactions.

The eBilling Specialist supports the firm's electronically billed clients and works collaboratively with the eBilling team and other Client Accounting teams to perform tasks related to the electronic submission of client invoices through various eBilling vendor websites. The eBilling Specialist oversees the complete eBilling process for a designated client portfolio, ensuring accuracy and compliance with firm guidelines. The eBilling Specialist is responsible for troubleshooting rejected invoices and addressing other eBilling-related issues to ensure the timely submission of invoices to clients.

Key Responsibilities
  • Submit eBilled client invoices and ensure needed escalation of unresolved eBilling issues to the eBilling Manager to leverage support for delivering solutions.
  • Identify, research, and troubleshoot rejected invoices for resolution and resubmission.
  • Work closely with the eBilling Manager and other billing specialists to resolve eBilling-related issues.
  • Collaborate with the Accounts Receivable team to resolve eBilling issues reported directly by clients, and perform required follow-up once issues are resolved.
  • Submit requests through eBilling vendor sites for accruals, appeals, budgets, and status reports.
  • Ensure timely and regular communication regarding eBilling rejections to the appropriate internal team member and, when necessary, to the impacted attorney and legal practice assistant.
  • Monitor deduction notifications and forward them in a timely manner to billing specialists and legal practice assistants to obtain attorney challenge responses for filing appeals within the appropriate timeframe.
  • Report eBilling status for specific clients and deliver reports as requested by management.
  • Represent the department in a professional and positive manner in all collaborative interactions.
Required Qualifications
  • Bachelor's degree; any combination of training, education, and experience that demonstrates the ability to perform the duties of the position may be considered.
  • Minimum of two (2) years of eBilling experience.
  • Proficiency in Microsoft Excel.
  • Proven ability to communicate effectively, both verbally and in writing, with internal and external stakeholders at all levels.
  • Demonstrated ability to prioritize and manage multiple competing priorities in a dynamic, fast-paced environment.
  • Ability to produce high-volume, computerized document edits in a deadline-driven environment.
  • Outstanding customer/client service and interpersonal skills.
Preferred Qualifications
  • Experience with eBilling within a law firm environment.
  • Familiarity with BillBlast, eBillingHub, and Aderant/CMS.
