Duet in Washington is seeking a Duet Coordinator responsible for managing community-based services and supervising Direct Support Professionals. This role involves assessing staffing needs, ensuring compliance with service requirements, and acting as a visible presence for employees and families.
The ideal candidate should have a high school diploma or GED, one year of management experience, and a valid driver’s license. The position offers the opportunity to work in a supportive and dynamic environment dedicated to individuals with intellectual and developmental disabilities.
Hours: 40 per week
The Coordinator works with Direct Support Professionals (DSPs) to ensure delivery of quality community‑based services.
Supervision of employees responsible for direct care, completing and maintaining attendance point tracker, checking employee time in Workday for accuracy, submitting payroll, obtaining approval to provide discipline, drafting performance documentation and delivering it to employees.
Create employee requisitions, interview, hire, and train employees.
Work with Directors to ensure accurate billing data for the area, including evaluating staffing at locations to ensure all needs are met using funding levels provided by the state, ensuring daily attendance meets service authorization criteria, evaluating that all EVV checks in and outs are present, and monitoring monthly attendance for all services to avoid repayments to the state.
Assist with building and fostering a culture that empowers direct reports to think outside the box while meeting new challenges, tempers high expectations for job performance with kindness, holds people accountable with respect, ensures HR documentation is completed, allows for transparent communication, requires participation in projects regardless of job title, and informs employees of job expectations through monthly staff meetings and frequent communication emails.
Simultaneously, assure that employee needs (medical appointments, transportation, snow days, etc.) are met, fostering a team approach to work efficiently and cost‑effectively.
Rotate on‑call responsibilities with other team members and cover vacant shifts when needed.
Adhere to agency policies and procedures related to abuse and neglect, financial documentation, and human resources. Be visible and maintain open communication with employees, service recipients, families, and state employees across all area physical locations and all services.
Check and respond to emails and voicemails within 24 hours, check T‑Logs, contact guardians and families at least once a month (unless a different frequency is specified), and communicate by each person’s preferred method.
As requested by the Area Director, visit each environment assigned to your team across varying shifts, including weekends, evenings, and morning shifts when possible.
Complete all required documentation thoroughly and accurately within established timelines, respond to SCOMMs, complete GER for all reportable incidents, and contact Service Coordination for all required tasks such as GER investigations.
Initiate maintenance and vehicle requests, check emails and Workday tasks daily, submit employee mileage, and strategize efficient use of area vehicles.
Establish and maintain consistent lines of communication with all stakeholders and promote a proactive approach when facing change.
Be directly involved with and promote inter‑area collaboration of the planning, implementation, and maintenance of projects that meet and exceed HCBS requirements, and actively participate in meeting goals set forth in the agency’s strategic plan.
Be willing to be flexible with schedule and put in the necessary time to ensure superior service delivery, able to work independently and in a self‑directed manner, ensuring all compliance tasks including documentation are completed accurately and within established timelines.
Write habilitation programs following SMART goal criteria, ensure documentation is completed per frequency decided on by the ISP team, complete monthly goal reviews, check HCBS log and CCIR tracking for completion, review service needs and staff objectives, complete reviews of restrictions, facilitate completion of assessments, and draft corrective action appropriate for progressive discipline.
Implement and monitor plans of corrections, review documents related to the health care of those supported, assure health care reports, health tracking reviews, and MAR reports are completed, review health‑related service needs and ensure medical appointment follow‑up, and address fiscal‑related needs such as private pay billing accuracy, completing the SNAP audit and verifying balances, auditing grocery credit cards, checking True Link cards for transactions, reviewing all debit card transactions in Therap, and ensuring receipts are accounted for in Therap.
Review and acknowledge T‑logs, check and respond to emails, SCOMMs, and voicemails within 24 hours, and attend staff meetings for the team.
Other duties as assigned.
Must be at least 19 years of age and have a high school diploma or GED.
One year of management experience in community‑based services preferred. Must possess and maintain a current, valid driver’s license, pass a driving record check, and may, depending on agency needs, be required to have an available automobile with required state insurance coverage for transporting people in service. Ability to utilize Microsoft Office Suite and all agency required systems.
This role requires full immersion into supported persons’ homes and community settings, including stores, movie theaters, medical facilities, places of worship, hobbies, interests, person‑centered celebrations, outdoor activities, and restaurants. A pre‑employment physical and background check will be completed to qualify you for the essential functions of the job. Must be able to lift at least 70 pounds, assist supported individuals in daily mobility tasks (e.g., wheelchair, vehicle, Hoyer lift, raised toilet seat), and be able to bend, stoop, kneel, squat, walk, sit, stand, climb, push, carry, and grasp.
