Qualifications

  • A Bachelor's degree in Business Administration, Management, Project Management, Communications, Public Administration, or a related field.
  • 4+ years of experience supporting projects, programs, operations, contracts, or business functions.
  • The ability to obtain and maintain a DoD Secret Security clearance.
  • US Citizenship required.
  • Experience supporting government, defense, military, engineering, facilities, logistics, or professional services programs.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication abilities.
  • Experience preparing reports, presentations, meeting minutes, and executive correspondence.
  • Proficiency with Microsoft Office Suite including Excel, Word, Outlook, PowerPoint, and Teams.
  • Ability to manage multiple priorities in a dynamic environment.
  • Ability to work independently while supporting geographically dispersed teams.
  • The ability to travel up to 10%.

Responsibilities

  • Support Program Managers and project teams in the day-to-day execution of multiple government contracts.
  • Coordinate project schedules, meetings, action items, deliverables, and customer engagements.
  • Maintain project records, contract documentation, staffing trackers, organizational charts, and reporting databases.
  • Assist with development of presentations, reports, briefings, spreadsheets, standard operating procedures, and other project documentation.
  • Track contract deliverables and ensure timely submission of reports, invoices, travel documentation, and customer-required products.
  • Support personnel actions including onboarding, staffing coordination, personnel tracking, recruiting coordination, vacancy reporting, and employee communications.
  • Coordinate domestic and international travel requirements, travel forecasts, expense reporting, and travel reconciliation activities.
  • Assist with preparation and tracking of funding actions, contract modifications, travel budgets, reimbursable expenses, and other program financial activities.
  • Maintain project information utilizing SharePoint, Microsoft Teams, Excel, Power BI, and other government or corporate information systems.
  • Serve as a liaison between program leadership, subcontractors, corporate functional departments, and government customers.
  • Support customer meetings by preparing agendas, capturing meeting minutes, tracking action items, and monitoring completion status.
  • Assist in developing project metrics, dashboards, status reports, and executive-level briefings.
  • Coordinate data calls, staffing updates, budget inputs, facility requirements, equipment requirements, and other operational information requests.
  • Support quality assurance, compliance, records management, and process improvement initiatives.
  • Assist with proposal development, market research, staffing plans, recruiting coordination, and transition activities for new business opportunities.
  • Monitor project risks, identify issues requiring leadership attention, and support resolution tracking.
  • Help maintain a high level of customer satisfaction through responsive communication and exceptional administrative support.
