Job summary

Kiewit Power Constructors is seeking a Document Controls Coordinator for its Lenexa, KS operations. The role focuses on administering the project document control system, logging and distributing documents to the project team, and coordinating with staff to optimize project efficiencies.

Qualifications

Responsibilities

  • Maintain the project document control program throughout the project lifecycle.
  • Control numbering, filing, storing, and retrieval of documents (electronic and hard copy).
  • Oversee approval, maintenance, and distribution of documents and retention policies.
  • Prepare reports, transmittals, and addendums as needed.
  • Manage incoming/outgoing transmittals and ensure current information is maintained.
  • Collaborate with project staff to improve efficiencies and meet deadlines.
  • Train project personnel on document control standards and systems.
  • Protect confidentiality of sensitive information.
  • Travel to project sites as required and work onsite with teams.

Position Overview

The District Document Control Coordinator shall be skilled in using technology to complete their tasks. They are primarily responsible for independently administering and managing the project document control system(s), including logging, transiting, and distributing all relevant documents into the system and distributing them to the appropriate project team members.

The District Document Control Coordinator is also responsible for coordinating/collaborating with project staff to help facilitate and expedite the project team's efficiencies. They should communicate/collaborate well with a large team to coordinate and complete multiple responsibilities on a deadline.

District Overview

Kiewit Power Constructors (KPC) provides direct-hire construction services for Power Generation utilizing a union craft force. Kiewit Power Constructors builds major EPC power plant and solar projects throughout North America.

Location

This position is based out of Lenexa, KS andrequires on-site presence.

Responsibilities
  • Responsible for maintaining the Project Document Control Program throughout the project's lifecycle.
  • Control the numbering, sorting, filing, storing, and retrieval of electronic and hard copy documents.
  • Oversee the proper approval, maintenance, and distribution of documents and retention policies.
  • Responsible for reproduction of documents, preparing reports and addendums.
  • Maintain records of incoming document transmittals and prepare outgoing transmittals.
  • Support the efforts to ensure that the system documents are maintained with accurate and current information.
  • Perform process assessments to ensure accuracy of all controlled documentation.
  • Assist with requests for information from external customers, vendors, and internal customers (inter-company).
  • Participate as needed in corrective/preventive actions items and their investigations.
  • Guide a team to administer the document flow and distribution at the Project site.
  • Train projects on document control standards, workflow, and systems.
  • Ensure that the confidentiality of sensitive information is protected.
  • Perform other duties as assigned by the Project Management
  • Perform any task required to support company goals
  • Ability to travel to Project Sites as needed
Qualifications
  • Basic knowledge of Electronic Document Management Systems (EDMS)
  • Knowledge of records/information management principles and their methodologies is an asset
  • Proficient in Microsoft Office.
  • Knowledge of SharePoint and InEight software is a plus!
  • Basic knowledge of document control procedures and office equipment such as computers, copy & plotter machines.
  • Willing to perform a variety of tasks and learn new skills
  • Be detailed oriented, flexible, and highly motivated.
  • Posses excellent interpersonal, written, and verbal communication skills.
  • The ability to work effectively within a project team with minimal supervision
