Job summary

Motor Werks Honda is seeking an organized Dispatcher to join our service team. The dispatcher will organize, lead, and control the flow of work through the service department, ensuring quality repairs at fair cost to the customer.

The role involves monitoring open repair orders, coordinating technicians, and maintaining effective communication with the Shop Foreman and service advisors. Prior dispatching or project management experience and proficiency in Excel are preferred.

Qualifications

  • Organized and able to multitask with conflicting priorities.
  • Excellent verbal and written communication; ability to explain issues clearly.
  • Strong customer service orientation and problem-solving abilities.
  • Proficient computer skills; familiarity with service dispatch systems preferred.

Responsibilities

  • Monitor all open repair orders and assign new ones according to technician availability.
  • Coordinate technician schedules including late nights, Saturdays, vacations, and training.
  • Notify technicians if issues arise and ensure timely responses.
  • Assign staff to start work promptly and communicate with Shop Foreman/Manager.
  • Flag and review repeat visits; ensure proper sign-off and documentation.
  • Track shop notes and ensure accuracy in MPI logging.
  • Inspect NPf lines and ensure proper foreman approval.
  • Distribute work to balance workload across technicians.
  • Conduct quick daily interviews with service advisors and review daily appointments.
  • Aim for fixed-right-first-time repairs.

Motor Werks Honda is looking for an organized, knowledgeable, experienced Dispatcher to join our growing team!

JOB DESCRIPTION:

The dispatcher must be able to organize, lead, and control the flow of work through the service department in a professional, timely manner while ensuring quality repairs at a fair cost to the customer. We are looking for someone dedicated to a job well done/ fixed first visit and a willingness to go above and beyond for our customers and team.

DUTIES AND RESPONSIBILITIES:
  • Monitor all open repair orders and assign new repair orders according to technician availability
  • Monitor technician schedules including late nights, Saturdays, vacation, training, and sickness, etc…
  • Notify technicians if MPI has a red flag appointed to them and they haven’t responded in a reasonable time limit
  • Assign waiters to technicians that will be available to start work immediately
  • Notify Shop Foreman/Shop Manager if a repair order is open for more than 3 days and is not waiting for a part to arrive.
  • Track repeat visits using the Microsoft Excel log
  • Notify Shop Foreman/Shop Manager of a repeat visit and follow up with technician to make sure Foreman/Manager has been involved and signed off on repair
  • Check all Pre-paid maintenance, DSA, Add-on lines, have been signed and properly documented
  • Ensure all no problem found (NPF) lines are signed by Foreman/Manager
  • Assign technician/porter/apprentice for quality control (QC)check if necessary
  • Ensure work is evenly distributed among resources eg; one technician can’t hold multiple repair orders open because they can’t get to all of it in a timely manner (redistribution may be necessary)
  • Have short interviews with service advisor’s daily
  • Review Appointments on a daily basis.
  • Ensure fixed right first time repairs
