Job description

We are seeking a Director, Procure to Pay Operations to lead our Accounts Payable function and guide it through its next stage of growth. You will own the end-to-end AP lifecycle: non-PO invoice processing, payment runs and bank file management, supplier onboarding and master data integrity, and the handling of returned EFTs, stale‑dated checks, and unclaimed property. You will lead a team of AP Managers who oversee back‑office and shared services staff. You will set the standard for accountability, continuous improvement, and customer service.

This is a hands‑on leadership role for someone who knows payment operations in detail. You will manage ACH, wire, check, and international payment processes. You will make sure every payment, including ad hoc and off‑cycle payments, goes out accurately, on time, and with proper controls. You will protect the organization through strong internal controls, SOX compliance, tax reporting oversight, and proactive defense against fraud, including business email compromise and payment redirection schemes.

You will also shape the future of AP. Working closely with IT, Treasury, Accounting, Tax, Legal, Purchasing, and Sourcing, you will develop a forward‑looking strategy built on automation and self‑service. You will lead system enhancements on Oracle Fusion Cloud, and you will contribute to migrations, acquisitions, and process integrations.

What You Bring

You are a seasoned AP leader with at least 5 – 7 years of experience. You have managed managers, and you have run a back‑office or shared services operation. You have deep knowledge of payment methods and banking, including ACH/NACHA, and you have hands‑on experience with return EFTs, stale checks, and escheatment. Oracle Fusion Cloud experience is a must. You communicate clearly, influence people at every level, and stay effective in a fast‑paced, deadline‑driven environment. A bachelor's degree in Accounting, Finance, Business Administration, or equivalent experience is required.

Here’s what you’ll do
Team Leadership and Management
  • Lead, coach, and develop AP Managers, who in turn manage back‑office staff.

  • Build a culture of accountability, continuous improvement, and customer service.

Invoice Processing
  • Oversee the full invoice lifecycle for non‑PO invoices.

  • Reduce manual work through automation, improvements, and analysis of exceptions.

  • Handle invoice questions, discrepancies, duplicate invoice prevention, and recovery of overpayments and credits.

Payment File Management
  • Own the scheduled payment run process, including ACH, wire, check, and international payments.

  • Oversee creation, transmission, and reconciliation of payment files to banks.

  • Manage ad hoc and off‑cycle payment files, including manual, and exception payments, with proper approvals and controls.

  • Ensure compliance with bank cutoffs and payment policies.

  • Coordinate with Treasury on cash forecasting, funding, and payment timing.

Return EFTs, Stale‑Dated Checks, and Unclaimed Property
  • Manage the process for returned or rejected EFT/ACH payments. This covers investigating the cause, validating bank details, re‑issuing payments, and correcting the supplier master data.

  • Manage voids and reissues.

  • Manage the stale‑dated check process.

  • Ensure compliance with escheatment and unclaimed property regulations, working with Legal, Tax, and Accounting.

Supplier Onboarding and Change Requests (Internal and External)
  • Own the supplier onboarding process, including W‑9/W‑8 collection, TIN matching, and bank account validation.

  • Manage supplier master data change requests from internal requestors and external suppliers. These include banking changes, remit‑to updates, and legal name or address changes.

  • Maintain supplier data integrity through regular cleansing, duplicate detection, and inactive‑supplier handling

  • Work to enhance supplier portal and self‑service tools to reduce manual intervention.

Controls, Compliance, and Audit
  • Maintain a strong internal control environment, including SOX controls where applicable.

  • Partner with Internal Audit, External Audit, and Compliance on testing and remediation.

  • Ensure compliance with tax reporting (1099, VAT/GST, and withholding) in partnership with Tax.

  • Define, document, and update policies, procedures, and desk‑level instructions.

  • Monitor and mitigate fraud risk, including business email compromise and payment redirection schemes.

Cross‑Functional Collaboration
  • IT: Partner on ERP, AP automation, bank connectivity, and system integrations. Lead UAT, defect resolution, and roadmap prioritization.

  • Purchasing and Sourcing: Align on AP processes, supplier setup, and payment terms.

  • Treasury, Accounting, Tax, and Legal: Coordinate on working capital initiatives, cash management, month end close, reconciliations, and regulatory requirements.

  • Business Stakeholders: Resolve escalations and communicate expectations on approvals and turnaround times.

Strategy, Process Improvement, and Reporting
  • Develop a forward‑looking AP strategy that considers automation

  • Lead continuous improvement initiatives

  • Contribute to system implementations, migrations, acquisitions, and process integrations.

What you’ll need to be successful:
  • 5 – 7 years required, 10+ years desired of AP experience, including at least 5 – 7 years managing an AP operations team.

  • Demonstrated experience managing managers and a back office or shared services team.

  • Deep knowledge of the full AP lifecycle, including invoice processing, payment runs, supplier maintenance, and exception handling.

  • Hands‑on experience with ad hoc payment files, return EFTs, stale checks, and escheatment processes.

  • Strong understanding of payment methods and banking, including ACH/NACHA, wires, and checks.

  • Experience with Oracle Fusion Cloud is a must.

  • Strong knowledge of internal controls, fraud prevention, and audit requirements.

  • Excellent critical thinking, forward planning, and problem‑solving skills.

  • Ability to move swiftly, multitask, and reprioritize in a fast‑paced, deadline‑driven environment.

  • Strong written and verbal communication skills, with the ability to influence at all levels and across departments.

  • Bachelor’s degree in Accounting, Finance, Business Administration, or equivalent experience.
