Director of Business Operations - Pittsburgh, PA
The Opportunity
We are seeking a Director of Business Operations to lead and oversee the firm's non-investment operational functions. This is a hands‑on leadership opportunity for an organized, collaborative professional who enjoys building teams, improving processes, managing technology, and creating operational structure.
The Director will work closely with firm leadership and play a key role in strengthening people, processes, systems, and day‑to‑day operations.
Key Responsibilities
Human Resources & Staff Development
- Oversee HR functions including onboarding, employee relations, performance management, and benefits administration.
- Develop staff training and professional development programs.
- Support a positive, collaborative, and high‑performance workplace culture.
Recruiting
- Lead recruiting efforts for non‑advisory positions and support advisor hiring as needed.
- Build talent pipelines and manage relationships with staffing and search partners.
- Help strengthen the employer brand and candidate experience.
Technology & Innovation
- Serve as the primary operational liaison for technology and software initiatives.
- Evaluate and implement CRM, fintech, financial planning, and operational platforms.
- Partner with staff to drive technology adoption and process improvements.
- Identify opportunities to improve efficiency through technology and automation.
Vendor & Partner Management
- Manage relationships with third‑party vendors, service providers, and strategic partners.
- Negotiate contracts and monitor vendor performance, service quality, and accountability.
Facilities & Office Operations
- Oversee day‑to‑day office operations and facilities management.
- Ensure the office environment is professional, efficient, and well maintained.
- Manage facilities, equipment, and office‑service vendors.
Licensing & Compliance Support
- Coordinate and track employee licensing and professional designation requirements, including Series 65, Series 66, CFP®, and other applicable credentials.
- Monitor renewals, deadlines, and continuing education requirements.
- Partner with compliance leadership on operational policies and procedures.
What We're Looking For
Required Qualifications
- 3+ years of experience in business operations, office management, or a similar leadership role.
- Experience managing multiple operational functions such as HR, recruiting, technology, vendor management, facilities, and administration.
- Demonstrated management experience with exposure to operational management, financial oversight, and business development.
- Strong Excel skills, including the ability to analyze data and use insights to support business decisions.
- Experience with process improvement, sales growth initiatives, and customer service.
- Strong organizational and project management skills with the ability to manage multiple priorities.
- Excellent communication and relationship‑building skills.
- Comfortable learning and implementing new technology platforms and tools.
- Collaborative, team‑oriented leadership style.
Preferred Qualifications
- Experience within wealth management, financial services, an RIA, or professional services.
- Familiarity with FINRA, state RIA regulations, and industry licensing requirements.
- Experience with Salesforce, Wealthbox, fintech platforms, or financial planning software.
- Bachelor's degree in Business Administration, Operations, or a related field.
