Reporting to the Art Director, Marketing Communications, the Digital Asset Coordinator II is responsible for the administration, organization, governance, and optimization of the organization's digital asset ecosystem, including Bynder, OneDrive, Box, and other approved digital repositories. This role serves as a central resource for managing creative, multimedia, and marketing assets throughout their lifecycle, ensuring assets are organized, searchable, compliant, and accessible.

OVERVIEW OF POSITION:

Reporting to the Art Director, Marketing Communications, the Digital Asset Coordinator II is responsible for the administration, organization, governance, and optimization of the organization's digital asset ecosystem, including Bynder, OneDrive, Box, and other approved digital repositories. This role serves as a central resource for managing creative, multimedia, and marketing assets throughout their lifecycle, ensuring assets are organized, searchable, compliant, and accessible.

Supporting both the Graphic Design and Digital Content teams, the Digital Asset Coordinator II develops and maintains metadata standards, taxonomy structures, file management practices and applies repository governance processes that improve operational efficiency and asset discoverability.

The position supports the organization and stewardship of a wide range of asset types, including graphic design files, brand assets, marketing collateral, presentations, photography, illustrations, video, audio, podcasts, and other multimedia content.

The Digital Asset Coordinator II also provides operational, administrative, and light project coordination support for the Graphic Design and Digital Content teams by tracking requests, maintaining documentation, supporting workflow processes, coordinating asset migrations and audits, and assisting with the management of creative and multimedia production activities.

Through strong attention to detail, file governance expertise, and cross-functional collaboration, this role plays a critical part in maintaining brand integrity, improving content accessibility, supporting department operations, and maximizing the value of the organization's digital assets.

ESSENTIAL FUNCTIONS:

• Administers and maintains Bynder and other approved repositories, including OneDrive, Box, shared media libraries, and future platforms.
• Uploads, catalogs, organizes, and maintains assets using established metadata, taxonomy, naming conventions, and folder structures.
• Manages asset lifecycle processes, including version control, archival, expiration, replacement, and retirement.

• Monitors asset quality, metadata completeness, permissions, access controls, collections, portals, and sharing functions.
• Provides training, support, and guidance on digital asset management and file governance best practices.
• Collaborates with stakeholders to improve asset discoverability, storage organization, and workflow efficiency.
• Develops, maintains, and applies metadata standards, taxonomy structures, controlled vocabularies, and file governance practices across approved repositories.
• Documents best practices for asset organization, file management, repository governance, and DAM procedures.
• Assists with DAM-related training materials, user guides, and standard operating procedures.
• Recommends improvements that increase efficiency, user engagement, and asset reuse.
• o Participates in DAM enhancements, integrations, migrations, repository consolidations, and platform improvement initiatives.
• Supports the Graphic Design team by organizing, maintaining, and governing creative assets across print, digital, environmental, promotional, presentation, and other marketing communications formats.
• Ensures graphic design assets are properly stored, tagged, versioned, distributed, and archived.
• Coordinates file management processes with designers, content creators, vendors, printers, and internal stakeholders.
• Maintains repositories for working files, packaged files, templates, brand assets, final production files, and other marketing collateral.
• Supports file transfers, asset migrations, audits, clean‑up efforts, and metadata updates.
• Ensures creative assets follow brand standards, licensing requirements, accessibility guidelines, and governance practices.
• Assists users in locating and using approved creative assets across Bynder, OneDrive, Box, and other approved repositories.
• Supports the Digital Content team by organizing, maintaining, and governing video, audio, photography, podcast, and other multimedia assets.
• Ensures multimedia assets are properly stored, tagged, versioned, distributed, archived, and accessible for production and publishing.
• Coordinates file management processes with content creators, videographers, photographers, editors, designers, vendors, and internal stakeholders.
• Maintains repositories for raw files, working files, final deliverables, and approved multimedia assets.
• Supports media ingestion, transfers, migrations, audits, clean‑up efforts, and metadata updates.
• Ensures multimedia assets follow brand standards, licensing requirements, accessibility guidelines, and governance practices.
• Provides administrative and operational support to the Graphic Design and Digital Content teams.
• Tracks asset requests, project statuses, deliverables, approvals, and workflow documentation.
• Supports creative and digital content coordination to help ensure timely completion of deliverables.
• Coordinates team meetings, documents action items, and supports follow-up as needed.
• Performs other duties as assigned in support of Marketing Communications, Graphic Design, and Digital Content operations.

EDUCATION:

Bachelor's degree in Marketing, Communications, Digital Media, Information Management, Library Science, Business Administration, or a related field is required.

Equivalent combination of high school/Associate degree and relevant experience may be considered.

EXPERIENCE:

Minimum of 3 years of experience in Digital Asset Management, content operations, multimedia asset management, marketing operations, or a related field.

Experience administering or supporting a DAM platform, preferably Bynder, and repositories such as OneDrive, SharePoint, Box, or similar platforms.

Experience supporting creative, digital content, marketing, communications, or multimedia production teams preferred.

Experience with metadata management, taxonomy development, digital archiving, and file governance strongly preferred.

KNOWLEDGE, SKILLS, ABILITIES:

Strong knowledge of digital asset management (DAM) principles, including metadata, taxonomy, governance, permissions, version control, asset lifecycle management, audits, and archival practices.

Experience managing digital assets and repositories using Bynder, OneDrive, SharePoint, Box, and similar cloud‑based platforms.

Understanding of graphic design and multimedia production workflows, including print, digital, video, audio, photography, motion graphics, presentations, and marketing communications assets.

Proficiency with Adobe Creative Cloud (InDesign, Illustrator, Photoshop, Acrobat Pro), Microsoft 365, and collaboration tools such as Microsoft Teams.

Experience organizing, packaging, archiving, and maintaining large libraries of creative and multimedia assets across multiple repositories.

Knowledge of file formats, storage requirements, accessibility standards, copyright, licensing, brand compliance, records retention, and digital asset usage guidelines.

Proficiency with project management and workflow platforms such as Asana, Smartsheet, Zendesk, or similar tools.

Experience tracking asset requests, approvals, deliverables, deadlines, and workflow documentation.

Strong organizational, communication, and problem‑solving skills with exceptional attention to detail.

Ability to identify process improvements and implement scalable solutions that enhance asset governance, accessibility, and operational efficiency.

Ability to obtain and maintain a criminal record/fingerprint clearance from the Department of Justice and Federal Bureau of Investigation per Easterseals Southern California and/or program requirements.

Must pass all drug testing required by ESSC.
