Job summary

University of Texas—Texas Performing Arts is seeking a Development Specialist, Operations to support fundraising activities and administrative operations on the UT Austin campus. You will handle gift processing, donor acknowledgments, and financial reporting in collaboration with the Business Office and UT Gift Operations teams.

You will manage CRM data and donor credits, support Texas Inner Circle programs, and provide cross-departmental project help.

Qualifications

Responsibilities

  • Lead on gift processing and coordinate with Business Office and Gift Operations.
  • Manage donor acknowledgements and financial reporting for the department.
  • Oversee pledge tracking and department finances (monthly/quarterly/annual).
  • Track membership campaigns and renewals; manage auto-renewal and gift processing.
  • Prepare donor stewardship activities and maintain donor credits.
  • Serve as Contracts POC for department including corporate & UBIT support.
  • Manage database and CRM across platforms like Paciolan, Salesforce, and VIP.
  • Ensure clean donor data and support prospect research.
  • Support Texas Inner Circle membership communications and program expansion.
  • Provide administrative support for department-wide initiatives and grant timelines.

This position is responsible for administrative aspects financial tracking and reporting, data management, Texas Inner Circle (TIC) membership support, and project administration.Through effective and efficient management of development operations, the Development Specialist, Operations, enables Texas Performing Arts to exceed its fundraising goals and sustains a vibrant center for artists, audiences, and students.## Responsibilities* 1. Financial Tracking & Reporting: + Lead on all Development department gift processing, coordinating with TPA Business Office and UT Gift Operations teams + Implement and manage donor acknowledgements (for donors below $50K) Lead on Development department financial and data reporting + Track and manage departmental pledge tracking and departmental finances (monthly, quarterly, annual) + Track Membership and Annual campaigns (post-report and list pulls); serve as lead for membership auto-renewal and gift processing for twice-annual campaigns + Serve as department lead for donor stewardship and implement annual stewardship activities for donors under $50K) + Contracts POC for department (including corporate & UBIT support)* 2. Data Management: + Lead on database and CRM management across internal and external platforms, including Paciolan, Salesforce, and VIP + Ensure clean, accurate donor data at all times + Manage prospect research for members and performance ticketholders + Manage donor credit lines across all donor levels and programs, serving as cross-departmental lead and coordinating with external and internal constituencies to ensure accurate donor credits across all communication channels.* 3. Texas Inner Circle Membership Support: + Implement all membership gift processing procedures + Support membership campaign communications and program expansion, including annual acquisition mailing, renewals, and regular membership communications + Communicate with Texas Inner Circle members, providing exceptional customer service and building strong relationships with key members and donors* 4. Project Administration: Provide administrative support for department-wide initiatives Manage grant timelines, as appropriate* 5. Consistently advance Texas Performing Arts’ goals of expansive and innovative programming, educational impact, and world‐class facilities & experiences across all defined responsibilities and other duties as assigned.## Required Qualifications* A Bachelor’s Degree.* At least three years of work experience in development, nonprofit management, administrative assistance, special events, or a related field.* Stellar writing and communication skills.* Demonstrated proficiency in Word, Outlook, and Excel; Slack; Zoom.* Demonstrated experience with data entry and database management.* Proven ability to effectively maintain productive relationships and deliver valued services to multiple stakeholders with different requirements.* Demonstrated positive attitude, flexibility with working assignments, and a willingness to learn and adapt.* Self-starter and problem solver.* Successful in collaborative team environments.* Superior organizational skills and demonstrated ability to handle multiple tasks and deadlines in a fast-paced environment.* Proven ability to identify needs and make appropriate decisions while working independently.* Excellent customer service skills with experience maintaining customer focus and implementing continuous quality improvements.* Must maintain strict confidentiality related to donors, clients, staff, and other organizational information.* Demonstrated understanding of the necessity and value of accuracy and attention to detail; ability to process information with high levels of accuracy.* Must be authorized to work in the United States on a full-time basis for any employer.## Preferred Qualifications* More than the minimum required level of experience.* Experience working in an arts or cultural organization.* Experience working in a large, complex enterprise such as a research university or large non-profit or governmental organization.* Two or more years of experience with complex data entry in a constituent management database.* Two or more years of experience in assisting a fundraising or development program or providing complex program support.* Proofreading and copy-editing experience.* Working knowledge of UT Austin's policies and procedures.* Experience with the UT VIP database, Paciolan ticketing system, or other similar systems for donor record management and performance ticketing.* Interest in and strong commitment to the mission and programs of Texas Performing Arts.* Familiarity with the Austin, Texas arts, cultural, entertainment, and education landscape.* Demonstrated ability to solve complex problems within standardized policies and procedures.## Salary Range$55,000+ depending on qualifications.## Working Conditions* Repetitive use of a keyboard at a workstation.
