Responsibilities

  • Support Development Officers with prospect management, moves management, portfolio cleanup, goal tracking, contacts entry, and report generation.
  • Participate in solicitation meetings and follow-ups.
  • Create gift transmittals for cash, stock, and wire transfers and tag them to the correct accounts.
  • Assist in developing communications and presentations; plan and execute internal and external meetings.
  • Provide concierge-level donor support to ensure exceptional donor experiences and increased giving.
  • Assist with travel arrangements for designated Development Officers; prepare itineraries and materials.
  • Assist with expense reports after travel; back up coordinator team as needed.
  • Collaborate with campus partners to coordinate daily division functions and fundraising activities.
  • Serve as fundraising liaison between University Advancement and campus partners.

What We are Looking For

This position will support the mission of the University by providing a high level of support, in a fast-paced environment, to a designated group of development officers to help ensure that meetings, correspondence, and other interactions with colleagues, donors, and prospective donors are productive and result in principal/major gift commitments.

A high school diploma and less than one year of relevant experience are required. A bachelor's degree and two years of relevant experience is preferred.

Additional education or experience will be considered in lieu of one another.

A hybrid work arrangement will be considered on a case-by-case basis.

What You Will Do
  • Support and provide administrative management to Development Officers with all Vision items, including prospect management (moves management, portfolio clean up) goal tracking, entering contacts, and pulling reports
  • Participate in solicitation meetings and follow ups
  • Responsible for creating gift transmittals for all manner of gifts, including cash, stock and wire transfers and making sure they are tagged to go into the correct account
  • Support in developing communications and presentations, planning and executing internal and external meetings
  • Provide, as needed on behalf of the Development Officers, concierge-level support to major donors to ensure exceptional donor experiences, resulting in continued and increased financial support to Baylor University
  • Assist Development Officers with other programs including requesting gift agreements from the Gift Agreement Logger, searching OnBase for any past documentation and turning in HelpDesk tickets for Prospect Management related issues
  • Assist a designated group of Development Officers by helping make travel arrangements; prepare itineraries and compile other materials for these meetings
  • Assist with their expense reports after travel, as needed
  • Collaborate with senior level administrative associates and assistants in coordinating the day-to-day functions of the division; this includes working closely with and being available as a back-up for the coordinator team
  • Build and maintain relationships with campus partners to collaborate on fundraising activity and shared goals including but not limited to colleges, schools, and units, and the Office of Sponsored Research
  • Serve as primary fundraising liaison between University Advancement and campus partners to facilitate fundraising collaboration
  • Perform all other duties as assigned to support Baylor’s mission
  • Ability to comply with University policies
  • Maintain regular and punctual attendance
